【寫法指要】
投訴信(letters of complaint)通常是寫給廠家、商店、消費(fèi)者協(xié)會(huì)、報(bào)界或廠家、商店的上級(jí)主管部門,揭發(fā)產(chǎn)品質(zhì)量的低劣、服務(wù)態(tài)度的糟糕,抱怨不應(yīng)出現(xiàn)的情況或問(wèn)題等,以求得解決的信件。寫投訴信要實(shí)事求是地把問(wèn)題講清楚,態(tài)度要冷靜,做到有禮貌,不能惡言傷人。
這封信的作者用的是對(duì)比法,先寫學(xué)校的地理位置和原先學(xué)校的優(yōu)美環(huán)境,后寫化工廠建起后對(duì)學(xué)校造成的污染,最后提請(qǐng)報(bào)界呼吁保護(hù)環(huán)境的問(wèn)題。寫得有理有據(jù),令人信服。

Format of complaint letter 1.Background
This section describes the situation;e.g.I am writing to inform you that the goods we ordered from your company have not been supplied correctly.I attended your exhibition Sound Systems 2008 at the Fortune Hotel(22-25 January)and found it informative and interesting.Unfortunately, my enjoyment of the event was spoiled by a number of organizational problems.I am a shareholder of Sunshine Bank and I am very concerned regarding recent newspaper reports on the financial situation of the bank.Your company is listed as the auditor in the latest annual report of the bank, so I am writing to you to ask for an explanation of the following issues.I am writing to inform you of my dissatisfaction with the food and drinks at the 'European Restaurant' on 18 January this year.2.Problem---Cause and Effect In the second paragraph you should identify what the issue is and any relevant information that you believe is important.Be sure to include the following information if it's applicable to the situation: the date/time of the issue, location, name of person on duty, name of product, what the problem was, your account number, model number, price, warranty information and reference number.Be sure to stick with the facts and avoid putting emotions into your letter.Cause: e.g.On 21 March 2008 we placed an order with your firm for 12,000 ultra super longlife batteries.The consignment arrived yesterday but contained only 1,200 batteries.Firstly, I had difficulty in registering to attend the event.You set up an on-line registration facility, but I found the facility totally unworkable.You sent us an invoice for $10,532, but did not deduct our usual 10% discount.We have found 16 spelling errors and 2 mis-labelled diagrams in the sample book.Effect: e.g.This error put our firm in a difficult position, as we had to make some emergency purchases to fulfill our commitments to all our customers.This caused us considerable inconvenience.Even after spending several wasted hours trying to register in this way, the computer would not accept my application.I am therefore returning the invoice to you for correction.This large number of errors is unacceptable to our customers, and we are therefore unable to sell these books.3.Solution

Sample 2 Complaint about poor packing
Dear Sirs: Have you taken care in checking your packing before you send us the goods? What a terrible state they are in now!Why are so many goods nude and broken? According to our contract, you are responsible for sound packing, but now you have been failed in fulfilling your duty!Why is that?
We have never seen a supplier whose packing is so poor!It is obviously that we cannot accept them.Replace them or refund the payment.If you cannot give us a reasonable explanation and fail to deal with it ,we will consider turning the whole matter into the court!Sincerely yours, Li Ming(Sample 2開頭用問(wèn)句發(fā)了一頓牢騷,但并未指明貨物是哪批,會(huì)讓人摸不著頭腦。緊接著措辭嚴(yán)厲地指出賣方違反了包裝義務(wù),指責(zé)這樣的供應(yīng)商是前所未見(jiàn)的。然后要求換貨或者退還貨款,最后還威脅說(shuō)不處理好此事就在法庭上見(jiàn),這讓人覺(jué)得不舒服。從整篇文章看,寫信人是在極其生氣的情況下寫這封信的,因此沒(méi)有經(jīng)過(guò)慎重考慮。而且還沒(méi)有考慮到,讀者不一定是直接責(zé)任人,包裝不好不一定就是在裝船前發(fā)生的,還可能是運(yùn)輸過(guò)程中發(fā)生的。作為商務(wù)信函,要考慮保持良好的合作關(guān)系,因此下筆之前要仔細(xì)斟酌。而且文中有語(yǔ)法錯(cuò)誤,第一段第一句中的send應(yīng)該是過(guò)去式sent;第三段第二句obviously應(yīng)該是形容詞obvious。
