日常交往,商務(wù)往來或者正式文書都可以使用,是標(biāo)準(zhǔn)的結(jié)尾方式。Sincerely是最為通用的形式,無論日常和正式通信都可以使用。如果不確定怎么結(jié)尾署名,就用sincerely吧。

在正式場合使用一個隨和的結(jié)尾并不一定意味著什么不恰當(dāng)?shù)氖虑?。有的時候,這樣做可以顯得你很自信,談話很隨和。然而,這樣做之前請了解一下對方是不是喜歡這種隨和的方式。

Beginning and ending the letter

大家都說了Sincerely/Regards和Cheers大致區(qū)別是正式和非正式。

個人經(jīng)驗,在商業(yè)信函中,或者說在郵件中,1.第一次聯(lián)系,推銷,建立業(yè)務(wù)關(guān)系,通常用sincerely,(Yours sincerely=I'm sincerely yours).學(xué)校學(xué)的外貿(mào)商業(yè)函電中比較正式的這種。
2.建立關(guān)系后,業(yè)務(wù)伙伴來往直接降為 best regards, 甚至直接br.歐洲客戶特別喜歡這樣,美國人則隨意的多。甚至不用br, 直接收尾。
3.沒有見過cheers.4.thanks一般只用過thanks for your cooperation in advance 或者最后再次致謝。個人不喜歡用br, 經(jīng)常順手thanks/xxxx.也沒啥問題。
5.best wishes 過年,圣誕等私人場合用過,平時還是br.,一句話,br打天下。

使用valediction的時候,不僅要考慮隨意/正式,也要考慮對方是哪國人。
美式英語:隨意親近的表示通常用Best;正式的用Sincerely, 或Yours sincerely,或Thank you。英 式英語:隨意親近的表示通常用Cheers;正式書信中,Best regards常見但偏商業(yè)化(香港人不管干什么都喜歡用BR),而在standard British English中,若信件開頭為Dear Sir/Madam, Dear Manager此類未特指對方姓名的稱呼,則用Yours faithfully結(jié)尾,若開頭稱呼有具體指稱對方姓名,則用Yours sincerely。
如果雙方實在夠熟悉,或短時間多次電郵往來,為了省事也可直接署名。

至于best wishes,老實講現(xiàn)實生活中我還未遇到過。好像小學(xué)初中學(xué)寫英文賀卡的時候蠻常用。
首先,熟人之間是不寫信的。因此,只說說在商務(wù)信函中的使用。
1)Sincerely, Regards, 沒有區(qū)別,可以在任何情況下使用。你寫了sincerely,也無法顯出你sincere。2)Best wishes, 我個人認(rèn)為這種說法比較娘炮。適用于不談工作的商業(yè)信函,比如溝通感情、表達感謝的那種。3)Cheers,適用于團隊內(nèi)部。我也不知道寫了這個cheers想表達什么,但是看起來特熟絡(luò)、地道、高端。對于團隊里的那些菜鳥來說,顯得逼格高人一等。

隨著網(wǎng)絡(luò)的普及,日常財務(wù)工作中電子郵件成為了必不可少的溝通工具之一,但是在實際工作中,經(jīng)常遇到這樣的問題,收到的一封郵件,題目竟然是“無標(biāo)題”,偶爾收到一個還好,收到的多了,在后期查找時很不方便,下屬公司報送的財務(wù)報表,不注明公司名稱,下面是從網(wǎng)上看到一篇關(guān)于電子郵件的商務(wù)禮儀,和大家分享。
“在商務(wù)交往中要尊重一個人,首先就要懂得替他節(jié)省時間”,電子郵件禮儀的一個重要方面就是節(jié)省他人時間,只把有價值的信息提供給需要的人。
寫Email就能看出其人為人處世的態(tài)度。你作為發(fā)信人寫每封Email的時候,要想到收信人會怎樣看這封Email,時刻站在對方立場考慮,將心比心。
同時勿對別人之回答過度期望,當(dāng)然更不應(yīng)對別人之回答不屑一顧。以下職業(yè)電子郵件中禮儀問題,希望能給您的工作帶來幫助!
一、關(guān)于郵件主題
主題是接收者了解郵件的第一信息,因此要提綱挈領(lǐng),使用有意義的主題行,這樣可以讓收件人迅速了解郵件內(nèi)容并判斷其重要性。
1.一定不要空白標(biāo)題,這是最失禮的;
2.標(biāo)題要簡短,不宜冗長,不要讓outlook用,才能顯示完你的標(biāo)題;
3.標(biāo)題要能反映文章的內(nèi)容和重要性,切忌使用含義不清的標(biāo)題,如“王先生收”;
4.一封信盡可能只針對一個主題,不在一封信內(nèi)談及多件事情,以便于日后整理;
5.可適當(dāng)用使用大寫字母或特殊字符(如“*!”等)來突出標(biāo)題,引起收件人注意,但應(yīng)適度,特別是不要隨便就用“緊急”之類的字眼;
6.回復(fù)對方郵件時,可以根據(jù)回復(fù)內(nèi)容需要更改標(biāo)題,不要RE、RE一大串。
二、關(guān)于稱呼與問候
1.恰當(dāng)?shù)胤Q呼收件者,拿捏尺度 1.1 郵件的開頭要稱呼收件人。這既顯得禮貌,也明確提醒某收件人,此郵件是面向他的,要求其給出必要的回應(yīng);在多個收件人的情況下可以稱呼大家、ALL。
1.2 如果對方有職務(wù),應(yīng)按職務(wù)尊稱對方,如“x經(jīng)理”;如果不清楚職務(wù),則應(yīng)按通常的“x先生”、“x小姐”稱呼,但要把性別先搞清楚。
1.3 不熟悉的人不宜直接稱呼英文名,對級別高于自己的人也不宜稱呼英文名。稱呼全名也是不禮貌 的,不要逮誰都用個“Dear xxx”,顯得很熟絡(luò)。
2.Email開頭結(jié)尾最好要有問候語
最簡單的開頭寫一個“HI”,中文的寫個“你好”;結(jié)尾常見的寫個Best Regards,中文的寫個“祝您順利”之類的也就可以了。
俗話說得好,“禮多人不怪”,禮貌一些,總是好的,即便郵件中有些地方不妥,對方也能平靜的看待。
三、職場的電子郵件禮儀
1.Email正文要簡明扼要,行文通順
Email正文應(yīng)簡明扼要的說清楚事情;如果具體內(nèi)容確實很多,正文應(yīng)只作摘要介紹,然后單獨寫個文件作為附件進行詳細描述。
正文行文應(yīng)通順,多用簡單詞匯和短句,準(zhǔn)確清晰的表達,不要出現(xiàn)讓人晦澀難懂的語句。
2.注意Email的論述語氣
根據(jù)收件人與自己的熟絡(luò)程度、等級關(guān)系;郵件是對內(nèi)還是對外性質(zhì)的不同,選擇恰當(dāng)?shù)恼Z氣進行論述,以免引起對方不適。
尊重對方,請、謝謝之類的語句要經(jīng)常出現(xiàn)。
電子郵件可輕易地轉(zhuǎn)給他人,因此對別人意見的評論必須謹(jǐn)慎而客觀。“郵件門”就是深刻的教訓(xùn)!
3.Email正文多用1234之類的列表,以清晰明確。
如果事情復(fù)雜,最好1、2、3、4的列幾個段落進行清晰明確的說明。保持你的每個段落簡短不冗長,沒人有時間仔細看你沒分段的長篇大論。4.一次郵件交待完整信息
最好在一次郵件中把相關(guān)信息全部說清楚、說準(zhǔn)確。不要過兩分鐘之后再發(fā)一封什么“補充”或者“更正”之類的郵件,這會讓人很反感。
5.盡可能避免拼寫錯誤和錯別字,注意使用拼寫檢查
這是對別人的尊重,也是自己態(tài)度的體現(xiàn)。如果是英文Email,最好把拼寫檢查功能打開。
在郵件發(fā)送之前,務(wù)必自己仔細閱讀一遍,檢查行文是否通順,拼寫是否有錯誤。
6.合理提示重要信息
不要動不動就用大寫字母、粗體斜體、顏色字體、加大字號等手段對一些信息進行提示。合理的提 示是必要的,但過多的提示則會讓人抓不住重點,影響閱讀。
7.合理利用圖片,表格等形式來輔助闡述
對于很多帶有技術(shù)介紹或討論性質(zhì)的郵件,單純以文字形式很難描述清楚。如果配合圖表加以闡述,收件人一定會表揚你的體貼。
8.不要動不動使用¤之類的笑臉字符,在商務(wù)信函里面這樣顯得比較輕佻
Business Email 不是你的情書,所以¤之類的最好慎用。只用在某些你確實需要強調(diào)出一定的輕松氣氛的場合。

1.如果郵件帶有附件,應(yīng)在正文里面提示收件人查看附件;
2.附件文件應(yīng)按有意義的名字命名,不可用外星人才看懂的文件名;
3.正文中應(yīng)對附件內(nèi)容做簡要說明,特別是帶有多個附件時;
4.附件數(shù)目不宜超過4個,數(shù)目較多時應(yīng)打包壓縮成一個文件;
5.如果附件是特殊格式文件,因在正文中說明打開方式,以免影響使用;
6.如果附件過大(不宜超過2MB),應(yīng)分割成幾個小文件分別發(fā)送;
7.尊重對方的習(xí)慣,不主動發(fā)起英文郵件;
如果對方與你的郵件往來是采用中文,請不要自作聰明的發(fā)送英文郵件給他;如果對方發(fā)英文郵件給你,也不要老土的用中文回復(fù)。8.選擇便于閱讀的字號和字體。
中文老實點用宋體或新宋體,英文就用Verdana 或 Arial 字型,字號用五號或10號字即可。這是經(jīng)研究證明最適合在線閱讀的字號和字體。
不要用稀奇古怪的字體或斜體,最好不用背景信紙,特別對公務(wù)郵件。
五、結(jié)尾簽名
每封郵件在結(jié)尾都應(yīng)簽名,這樣對方可以清楚的知道發(fā)件人信息。雖然你的朋友可能從發(fā)件人中認(rèn)出你,但不要為你的朋友設(shè)計這樣的工作。
1.簽名信息不宜過多
電子郵件消息末尾加上簽名檔是必要的。簽名檔可包括姓名、職務(wù)、公司、電話、傳真、地址等信息,但信息不宜行數(shù)過多,一般不超過4行。
你只需將一些必要信息放在上面,對方如果需要更詳細的信息,自然會與你聯(lián)系。
引用一個短語作為你的簽名的一部分是可行的,比如你的座右銘,或公司的宣傳口號。但是要分清收件人對象與場合,切記一定要得體。
2.不要只用一個簽名檔
對內(nèi)、對私、對熟悉的客戶等群體的郵件往來,簽名檔應(yīng)該進行簡化。過于正式的簽名檔會讓對方顯得疏遠。你可以在OUTLOOK中設(shè)置多個簽名檔,靈活調(diào)用。
3.簽名檔文字應(yīng)選擇與正文文字匹配,簡體、繁體或英文,以免出現(xiàn)亂碼。字號一般應(yīng)選擇比正文字體小一些。
六、郵件回復(fù) 1.及時回復(fù)Email
收到他人的重要電子郵件后,即刻回復(fù)對方一下,往往還是不可少的,這是對他人的尊重,理想的回復(fù)時間是2小時內(nèi),特別是對一些緊急重要的郵件。
對每一份郵件都立即處理是很占用時間的,對于一些優(yōu)先級低的郵件可集中在特定時間處理,但一般不要超過24小時。
如果事情復(fù)雜,你無法及時確切回復(fù),那至少應(yīng)該及時的回復(fù)說“收到了”,我們正在處理,一旦有結(jié)果就會及時回復(fù)。不要讓對方苦苦等待,記?。杭皶r做出響應(yīng),哪怕只是確認(rèn)一下收到了。如果你正在出差或休假,應(yīng)該設(shè)定自動回復(fù)功能,提示發(fā)件人,以免影響工作。
2.進行針對性回復(fù)
當(dāng)回件答復(fù)問題的時候,最好把相關(guān)的問題抄到回件中,然后附上答案。不要用簡單的,那樣太生硬了,應(yīng)該進行必要的闡述,讓對方一次性理解,避免再反復(fù)交流,浪費資源。
3.回復(fù)不得少于10個字
對方給你發(fā)來一大段郵件,你卻只回復(fù)“是的”、“對”、“謝謝”、“已知道”等字眼,這是非 常不禮貌的。怎么著也要湊夠10個字,顯示出你的尊重。
4.不要就同一問題多次回復(fù)討論,不要蓋高樓
如果收發(fā)雙方就同一問題的交流回復(fù)超過3次,這只能說明交流不暢,說不清楚。此時應(yīng)采用電話 溝通等其它方式進行交流后再做判斷。
電子郵件有時并不是最好的交流方式。
對于較為復(fù)雜的問題,多個收件人頻繁回復(fù),發(fā)表看法,把郵件越RE越高,這將導(dǎo)致郵件過于冗長笨拙而不可閱讀。
此時應(yīng)即是對之前討論的結(jié)果進行小結(jié),刪減瘦身,突出有用信息。5.要區(qū)分Reply和Reply All(區(qū)分單獨回復(fù)和回復(fù)全體)
如果只需要單獨一個人知道的事,單獨回復(fù)給他一個人就行了。
如果你對發(fā)件人提出的要求做出結(jié)論響應(yīng),應(yīng)該replay all,讓大家都知道;不要讓對方幫你完成 這件事情。
如果你對發(fā)件人的提出的問題不清楚,或有不同的意見,應(yīng)該與發(fā)件人單獨溝通,不要當(dāng)著所有人的面,不停的RE來RE去,與發(fā)件人討論。
你們討論好了再告訴大家。不要向上司頻繁發(fā)送沒有確定結(jié)果的郵件。
點擊“回復(fù)全部”前,要三思而行!6.主動控制郵件的來往
為避免無謂的回復(fù),浪費資源,可在文中指定部分收件人給出回復(fù),或在文末添上以下語句:“全 部辦妥”、“無需行動”、“僅供參考,無需回復(fù)”。
七、正確使用發(fā)送,抄送,密送 要區(qū)分To和CC還有BCC(區(qū)分收件人、抄送人、秘送人)
1.To的人是要受理這封郵件所涉及的主要問題的,理應(yīng)對郵件予以回復(fù)響應(yīng)。
2.而CC的人則只是需要知道這回事,CC的人沒有義務(wù)對郵件予以響應(yīng),當(dāng)然如果CC的人有建議,當(dāng)然可以回Email。
3.而BCC是秘送,即收信人是不知道你發(fā)給了BCC的人了的。這個可能用在非常的場合。
4.TO,CC中的各收件人的排列應(yīng)遵循一定的規(guī)則。比如按部門排列;按職位等級從高到低或從低到高都可以。適當(dāng)?shù)囊?guī)則有助于提升你的形象!
5.只給需要信息的人發(fā)送郵件,不要占用他人的資源。
6.轉(zhuǎn)發(fā)郵件要突出信息。
八、注意事項
1.在你轉(zhuǎn)發(fā)消息之前,首先確保所有收件人需要此消息;
2.轉(zhuǎn)發(fā)敏感或者機密信息要小心謹(jǐn)慎,不要把內(nèi)部消息轉(zhuǎn)發(fā)給外部人員,或者未經(jīng)授權(quán)的接收人;
3.如果有需要 還應(yīng)對轉(zhuǎn)發(fā)郵件的內(nèi)容進行修改和整理,以突出信息; 4.不要將RE了幾十層的郵件發(fā)給他人,讓人摸不著頭腦;
5.對外重要文件必須經(jīng)高階主管認(rèn)可簽字轉(zhuǎn)為PDF文件,或由高階主管親自發(fā)送;
6.所有的電子郵件應(yīng)自我Double check后才發(fā)出。
【點評】
1、溝通的效果,面對面最好,電話次之,郵件最差;
2、以后發(fā)送的郵件切記不要出現(xiàn)無標(biāo)題之類,這樣給收件人后期查詢帶來很多不便,同時也給收件人留下一個不好的印象;
3、如果前后發(fā)送同一個主題的郵件,但是郵件的內(nèi)容有所變化,應(yīng)在郵件標(biāo)題中有所提示,如(更新)字樣,當(dāng)然,最好的方式是一步到位;
4、準(zhǔn)確把握收件人、抄送人、密送人的不同使用方法及不同;
5、一個郵件通常只包含一件事情;
6、郵件的征文應(yīng)突出主題,便于收件人閱讀所要表達的重點,如果內(nèi)容太多,可在郵件正文簡明扼要的概括下內(nèi)容要點,并注明詳細內(nèi)容請參看附件;
7、特殊格式的文件,需注明打開的方式,這樣給使用者會帶來更多的方便;
8、對財務(wù)人員來說,在報送報表、應(yīng)收賬款等情況時,可注明“**年**月**公司**報表”,在報送應(yīng)收賬款時,可注明“**公司應(yīng)收賬款表(截止**月**日)”,這樣可以使人更加方便的閱讀,也便于后期查看;
9、日常在發(fā)送郵件時,可以在word里面先進行輸入,然后再復(fù)制到郵箱里,一方面在word里面便于編輯,另一方面word提供了自動保存功能,可以使我們更高效的工作,最后還可以利用word提供的【工具】-【拼寫和語法】來檢查是否存在語法錯誤;
郵件溝通較之面對面交流的一大優(yōu)勢在于,你可以借助一切力量使得你撰寫的郵件準(zhǔn)確無誤得表達你的意圖,而不必?fù)?dān)心發(fā)音不標(biāo)準(zhǔn)或語法錯誤等讓人尷尬的掉鏈子情況發(fā)生。
但往往人們忽視的便是一些細枝末節(jié)的注意事項,這兒有一些建議可以保證你的郵件給人留下好印象。
1.Know your email terms: 英語電子郵件發(fā)送程序有很多縮寫,如果你不知道意思的話,你向老板提出的加薪請求就可能發(fā)給了整個辦公室!
“Reply to all”表示你的回復(fù)將發(fā)送給每一個收到原始郵件的人。在郵件的地址欄內(nèi),“cc”(carbon copy)部分指的是該郵件發(fā)給你指定的人,即“抄送),而“bcc”指你可以悄悄的發(fā)送郵件而不讓其他的人知道,即”密送“,b代表的是“blind”(掩藏的)。如果有人要你“forward”一封郵件,意思是要你通過轉(zhuǎn)發(fā)的功能發(fā)送郵件,有時侯簡寫成“fw.” 2.Use the Right Greeting:盡管用“Hey”作為寫給朋友的電子郵件開場白沒有任何問題,但是最好不要用這種方式給一個潛在的商務(wù)伙伴這樣寫信。另一方面,使用非常正式的傳統(tǒng)開場白“Dear Sir” 也已經(jīng)越來越過時了。最好寫成“Dear Mr./ Ms.” 后跟那個人的姓氏。同事之間,通??芍焙羝涿?,如“Dear John”)。

然后,如果是你主動寫電子郵件給別人的話,那就不可能再寫什么感謝的字句了。那就以你寫此郵件的目的開頭。例如,“I am writing to enquire about …”或是“I am writing in reference to …”在電子郵件開頭澄清你的來意非常重要,這樣才能更好的引出郵件的主要內(nèi)容。記得要注意語法,拼寫和標(biāo)點符號,保持句子簡短明了并句意前后一致。
結(jié)束語 在你結(jié)束郵件之前,再次感謝收信人并加上些禮貌語結(jié)尾。你可以“Thank you for your patience and cooperation.”或“Thank you for your consideration.”開始接著寫,“If you have any questions or concerns, don't hesitate to let me know.” 及“I look forward to hearing from you.”
結(jié)束
