      A 英文郵件如何寫

      a1 內(nèi)容

      從問候開始

      用問候語開始郵件內(nèi)容非常重要,例如“Dear Lillian,”。根據(jù)你與收件人的關(guān)系親近與否,你可能選擇使用他們的姓氏來稱呼他們而不是直呼其名,例如“Dear Mrs.Price,”。如果關(guān)系比較親密的話,你就可以說,“Hi Kelly,”如果你和公司聯(lián)系,而不是個人,你就可以寫“To Whom It May Concern:” 感謝收件人如果你在回復(fù)客戶的詢問,你應(yīng)該以感謝開頭。例如,如果有客戶想了解你的公司,你就可以說,“Thank you for contacting ABC Company.”如果此人已經(jīng)回復(fù)過你的一封郵件了,那就一定要說,“Thank you for your prompt reply.”或是“Thanks forgettingbackto me.”如果你可以找到任何機(jī)會那一定要謝謝收信人。這樣對方就會感到比較舒服,而且顯得更禮貌。表明你的意圖

      主題摘要欄(Subject)郵件的標(biāo)題應(yīng)當(dāng)簡潔明了。郵件標(biāo)題是郵件主要內(nèi)容的濃縮,是讀者瀏覽信箱時決定是否閱讀該郵件的根據(jù)。簡潔明了的主題內(nèi)容可起到索引的作用,便于收件者以后在大量的郵件中查出相關(guān)的郵件。郵件標(biāo)題選擇的合適與否將影響到讀者處理信件的效率。因此,為了確保收信人能及時閱讀郵件,郵件的標(biāo)題不僅要引人注目,而且應(yīng)該言簡意賅。另外,標(biāo)題應(yīng)該用名詞短語或動名詞短語,如:“Your Meeting in California”,“Your Order”,“Mrs.Jones”,“weekly Sales Meeting”,“廣告”等標(biāo)題都信息明確、一目了然。稱呼(salutation)

      正文部分(body)涉外商務(wù)電子郵件的正文書寫格式絕大多數(shù)采用齊頭式。齊頭式是指正文中各部分都從每行的左邊開始,這種格式便于打字和節(jié)省時間,提高工作效率。正文是電子郵件的主要部分,大多把話題分成幾個小主題,每個小主題一段,每段一般只有一兩句話,正文由兩三個或三四個簡短的段落構(gòu)成。敬意結(jié)尾(complimentary closing)

      三、結(jié)語

      隨著國際商務(wù)活動的不斷擴(kuò)展,商務(wù)英語電子郵件的重要性也日益明顯。同時,電子商務(wù)的普及,往往會讓寫忽視商務(wù)英語電子郵件應(yīng)有的規(guī)范和格式,難免會出現(xiàn)這樣或那樣的問題。然而準(zhǔn)確規(guī)范的英文郵件,不僅能反應(yīng)寫信人的英語及業(yè)務(wù)水平,還可以體現(xiàn)寫信人為人處事的態(tài)度和風(fēng)格,有助于建立良好的商務(wù)關(guān)系,最終對達(dá)成貿(mào)易起到重要的作用。因此,有必要熟悉商務(wù)英文電子郵件應(yīng)有的規(guī)范和格式,遵循郵件的寫作原則。

      寫英語商務(wù)電子郵件一般比口語簡單:你不必?fù)?dān)心發(fā)音錯誤,而且可以慢慢地修改郵件的內(nèi)容。但是在寫郵件時,你需要記住以下五點(diǎn)技巧,以保證你的郵件給收件人留下美好的印象。

      1.Know your email terms(了解郵件術(shù)語)

      英語電子郵件發(fā)送程序有很多縮寫,如果不了解它們的意思,你可能會錯把要求老板加薪的郵件發(fā)給整個辦公室!

      “Reply to all”表示你的郵件將發(fā)送給每一個收到原始郵件的人。在郵件的地址欄內(nèi),“cc”(carbon copy)是指郵件發(fā)給你指定的人,而“bcc”是指你可以悄悄地發(fā)送郵件而不讓其他人知道。b的意思是“blind”(掩藏的)。

      如果有人讓你“forward”一封郵件,意思是讓你通過轉(zhuǎn)發(fā)的功能發(fā)送郵件,有時簡寫成“fw”。

      2.Use the right greeting(正確使用問候語)

      盡管用“Hey”作為寫給朋友的電子郵件開場白沒有任何問題,但是最好不要用這種方式給一個潛在的商務(wù)伙伴寫電子郵件。另外,使用非常正式的傳統(tǒng)開場白“Dear Sir” 已經(jīng)越來越過時了,最好是寫“Dear Mr./ Ms.” 然后接那個人的姓。如果你們在一起工作的話,寫他們的名字也沒有關(guān)系,例如“Dear John”。

      3.Keep it short and clear(郵件要簡潔明了)

      寫其他體裁的文章可能需要選用精美的詞語和復(fù)雜的句法來顯示你的聰明才智和英語水平,而寫英語郵件你只需用一種清晰且有條理的方式即可。在郵件的第一段清楚地表明你寫信的目地并條理清晰,每一段都要有中心句。使用類似“first, second, next, and finally”的詞引導(dǎo)讀者理解你將表述的每一個新觀點(diǎn),你無需在郵件中包括所有的詳細(xì)內(nèi)容。你可以用“If you have any other questions please feel free to contact me(如有問題,請與我聯(lián)系)”這樣的句子結(jié)束郵件,讓郵件的接收者有更多的機(jī)會詢問更多的信息。

      4.Be polite and tactful(禮貌并得體)

      寫郵件時,盡量清晰地陳述所寫的內(nèi)容,無論是請求一次工作面試還是進(jìn)行其他的業(yè)務(wù)聯(lián)系,最好不要用象 “I want.”之類的詞語表示要求,而“I would like”顯得更尊重對方,并且“I am interested in”是提出請求建議或?qū)で笠庖姷妮^好選擇。

      5.電子郵件的正確結(jié)尾

      “I am looking forward to your(early)reply(望早日答復(fù))”、“Thank you”或者“Sincerely(誠摯的)”都是給收信人留下美好印象的結(jié)尾方式。
