Letter of Complaint
投訴信一般是針對(duì)質(zhì)量低劣的產(chǎn)品或者服務(wù)而表達(dá)的不滿和抱怨,目的是為了讓對(duì)方根據(jù)所存在的問(wèn)題給出合理的、所期望的解決方法。
投訴信的結(jié)構(gòu)和內(nèi)容為:第一部分,說(shuō)明寫(xiě)該信的主要意圖,即提出需要解決的問(wèn)題和該問(wèn)題給你造成的不良影響,以及解決問(wèn)題的重要性;第二部分,說(shuō)明詳細(xì)的情況,提出與投訴有關(guān)的重要依據(jù),如商品的具體問(wèn)題、購(gòu)買日期和地點(diǎn)等;第三部分,提出建議,說(shuō)出你所希望的解決方法和最后的結(jié)果。此外,還可以向?qū)Ψ浇ㄗh解決問(wèn)題的最后日期,并表示對(duì)所投訴問(wèn)題的妥善解決充滿信心。
在寫(xiě)投訴信時(shí)應(yīng)注意以下幾個(gè)問(wèn)題。
(1)要簡(jiǎn)潔明了,誠(chéng)實(shí)坦率。說(shuō)明情況時(shí),只要能夠證明你對(duì)此事已做了全面的了解即可,省去不相關(guān)的細(xì)節(jié),盡量把篇幅限制在一頁(yè)之內(nèi),不要過(guò)于冗長(zhǎng)。
(2)語(yǔ)氣堅(jiān)定又不失禮貌,盡量避免尖銳的挑釁和責(zé)問(wèn)。如果問(wèn)題是針對(duì)個(gè)人的,盡量避免把鋒芒對(duì)準(zhǔn)整個(gè)公司和團(tuán)體。尤其當(dāng)你投訴的公司或個(gè)人與你經(jīng)常打交道時(shí),一定要講求策略。
(3)如果該公司屢次給你提供質(zhì)量低劣的服務(wù)并拒絕改變?cè)撉闆r,你認(rèn)為唯一的解決辦法就是訴諸法律,表述你的感覺(jué)時(shí)要得體而又不失堅(jiān)定。然而,除非你已決定要訴諸法律時(shí)才可以說(shuō)這樣的話。
(4)如果你想要使你的投訴信更有分量,尤其是你想影響或改變某些立法式規(guī)定時(shí),你可以讓幾個(gè)人和你聯(lián)合簽名。
(5)寫(xiě)上你的聯(lián)系方式(姓名、地址、電話號(hào)碼和電子郵件地址等),以備對(duì)方與你磋商解決辦法時(shí)使用。
投訴信常見(jiàn)的表達(dá)方式如下。
(1)Mild(溫和的)complaint:
I am writing to you in connection with/regarding...我寫(xiě)信是關(guān)于……的事。
I am writing to you to complain about the poor service/quality...of...我給您寫(xiě)信是要對(duì)……低劣的服務(wù)或質(zhì)量進(jìn)行投訴。
I am writing to you to express my dissatisfaction with...我給您寫(xiě)信是為了對(duì)……表示我的不滿。
I am sorry to inform you that...很遺憾,我要通知您的是……
I wish to make a complaint about...我想對(duì)……進(jìn)行投訴。
I am afraid I have a complaint to make about...我只是想對(duì)……提出投訴。
(2)Strong(強(qiáng)硬的)complaint:
I feel I must protest/complain about...我覺(jué)得我應(yīng)該對(duì)……提出抗議或投訴。
I feel it a must to complain about...我覺(jué)得我必須對(duì)……進(jìn)行投訴。
(3)Making requests(提出要求):
I would appreciate it if you would...如果您能……,我將不勝感激。
I will have to insist on a refund in full of the price/charge.我堅(jiān)持要求全額退款。
I expect to be compensated for all the extra expenses.我期望能得到所有額外費(fèi)用的賠償。
I would be very grateful if you would...as soon as possible.如果您能盡快……,我將非常感激。
