英文郵件(商務(wù))格式及常用語 Ⅰ郵件主題:
①.主題(Subject)框的內(nèi)容應(yīng)簡明地概括信的內(nèi)容,短的可以是一個單詞,如greetings; 長的可以是一個名詞性短語,也可以是完整句,但長度一般不超過35個字母。

②.主題框的內(nèi)容切忌含糊不清。
NO:像News about the meeting 這樣的表達(dá);
YES:應(yīng)改為Tomorrow's meeting canceled。
一般來說,只要將位于句首的單詞和專有名詞的首字母大寫即可;另外一種較為正規(guī)的 格式可將除了少于5個字母的介詞、連接詞和冠詞之外的每一個單詞的首字母大寫。YES:New E-mail Address Notification;Detailed calculation

③.視信的內(nèi)容是否重要,還可以在開頭加上URGENT或者FYI(For Your Information 供參考),如:URGENT:Submit your report today!
Ⅱ稱呼:
Dear ××(人名),,或者Dear Mr./Ms.××(姓),,一般正式的郵件這樣就OK了,如果和你非常熟悉的人,也可以直呼其名;然后空一行換行,頂格寫,不用空格。
Ⅲ正文:
①.郵件第一段開頭可以說到自己是誰(This is ××(人名)from ××(公司名)),也可以不說;
②.感謝讀者是郵件開場白的好辦法。感謝您的讀者能讓對方感到高興,特別是之后你有事相求的情況下會很有幫助。
⑴.Thank you for contacting us.如果有人寫信來詢問公司的服務(wù),就可以使用這句句子開頭,向他們對公司的興趣表示感謝。
⑵.Thank you for your prompt reply.當(dāng)一個客戶或是同事很快就回復(fù)了你的郵件,一定記得要感謝他們;如果回復(fù)并不及時,只要將“prompt”除去即可,你還可以說,“Thank you for getting back to me.”
⑶.Thank you for providing the requested information.如果你詢問某人一些信息,他們花了點時間才發(fā)送給你,那就用該句表示你仍然對他們的付出表示感激。
⑷.Thank you for all your assistance.如果有人給了你特別的幫助,那一定要感謝他們!如果你想對他們表示特別的感激,就用這個句子,“I truly appreciate for your help in resolving the problem.”
⑸.Thank you raising your concerns.就算某個客戶或是經(jīng)理寫郵件給你對你的工作提出了一定的質(zhì)疑,你還是要感謝他們。這樣你能表現(xiàn)出你對他們的認(rèn)真態(tài)度表示尊重及感激。同時,你也可以使用,“Thank you for your feedback.”
③.正文中,段與段之間也是空一行,再頂格寫。注意:正文的內(nèi)容你需要注意5C原則:Clear(信息明了)、Complete(內(nèi)容完整)、Correct(準(zhǔn)確無誤)、Concise(簡明扼要)、Courteous(禮貌周到)
⑴.正文中的人稱選擇:I, You, We等,如果郵件很長的話,you的使用不能過多;I和We的區(qū)別是顯而易見的,生意上、客戶之間一般都是用We,你是代表公司的;當(dāng)然該用I表示你個人的時候還是要用I的,視具體情況而定。語氣和賓詞的運(yùn)用得當(dāng)能決定你的禮貌程度。如:
NO: You will be pleased to learn that you have been selected to serve on our advisory board.Your prompt response will be appreciated.(好像欠你一樣)
YES: I am pleased that our board has selected you as the best qualified candidate to serve on our advisory board.I hope you’ll agree to serve.(這就友善多了)
NO: Your book was well written and comprehensive.(不用你來判斷我呀~~)
YES: I thoroughly enjoyed your book and found an answer to every one of my
questions about performance appraisals.(客氣一點,人家受落)
⑵.切忌主客不分或模糊
例子:Deciding to rescind the earlier estimate, our report was updated to include $40,000 for new equipment.應(yīng)改為:Deciding to rescind our earlier estimate, we have updated our report to include $40,000 for new equipment.(We我們是主語, 不是report。)
⑶.句子不要凌碎
例子:He decided not to audit the last ten contracts.Because of our previous objections about compliance.應(yīng)該連在一起。
⑷.結(jié)構(gòu)對稱,令人容易理解。
例子: The owner questioned the occupant's lease intentions and the fact that the contract had been altered with ink markings.應(yīng)改為:The owner questioned the occupant's lease intentions and ink alterations of the contract.⑸.單復(fù)數(shù)不要搞亂,不然會好刺眼,看不舒服。
例如:An authorized person must show that they have security clearance.⑹.動詞主詞要呼應(yīng)。想想這兩個分別:
1)This is one of the public-relations functions that is under budgeted.2)This is one of the public-relations functions, which are under budgeted.⑺.時態(tài)和語氣不要轉(zhuǎn)變太多??瓷虅?wù)英語已經(jīng)是苦事,不要浪費(fèi)人家的精力啊。
⑻.選詞正確
像affect和effect,operative和operational等等就要弄清楚才好用啦。
⑼.地址上的數(shù)字直接用阿拉伯?dāng)?shù)字,除了One,例子:

Ⅳ結(jié)尾:
①.結(jié)尾的常用語
⑴.If you have any question or suggestion, please feel free to contact me./ Any
question or suggestion, please feel free to contact me.很常用的結(jié)尾,正文中不用說的非常詳細(xì),顯得冗余,可以這樣結(jié)尾,他不懂的或者建議,可以聯(lián)系你。
⑵.Thank you for your help and your valuable time again./ I appreciate again for your attention and time.結(jié)尾的感謝用語
⑶.I am lookingforward to hearing from you soon./ Looking forward to hearing from you soon.期待收信人的盡快回復(fù),這樣的寫法很常用,”soon”就足可以表示“盡快”的意思,不要用”as quickly as you can”這樣生硬的短語,像是在下命令,很不禮貌。
⑷.Thank you for your kind cooperation.如果你需要讀者幫助你做某事,那就先得表示感謝。
⑸.Thank you for your attention to this matter.與以上的類似,本句包含了你對對方將來可能的幫助表示感謝。
⑹.Thank you for your understanding.如果你寫到任何會對讀者產(chǎn)生負(fù)面影響的內(nèi)容那就使用這句句子吧。
⑺.Thank you for your consideration.如果您是在尋求機(jī)會或是福利,例如你在求職的話,就用這封郵件結(jié)尾。
⑻.Thank you again for everything you've done.這句句子可以用在結(jié)尾,和以上有所不同。如果你在郵件開頭已經(jīng)謝過了讀者,你就可以使用這句話,但是因為他們的幫助,你可以著重再次感謝你們的付出。
②.在署名自己的之前的客套話
⑴.正式一點的,客戶、公司之間的:Very truly yours, Yours very truly, Yours truly,⑵.一般的就OK,如:Best Regards, Thanks and Best Regards, Sincerely yours,Yourssincerely, Sincerely, Cordially yours, Yours cordially, Cordially,然后空一行換行,你的名字、聯(lián)系方式,公司的名字、聯(lián)系方式、Logo等。
Ⅴ檢查
在寫完郵件后,先忍住,不要著急點發(fā)送按鈕,檢查一下,就幾十秒或者一兩分鐘的時間。①.注意人稱,時態(tài),語法,名詞單復(fù)數(shù)等細(xì)節(jié).②.內(nèi)容大概用5C原則檢查一下,現(xiàn)在的工作中用到的郵件一般都不會很長。
注意:這是個人推薦的一種英文書寫方式(段與段之間空一行,頂格寫),還有一種就是段與段之間可以不用空一行,但是每段開頭都要縮進(jìn)4個字符,類似于中文的書寫方式,這種方式也是沒有錯誤的,只是看個人的喜好。

關(guān)于英文商務(wù)email的問題
“在商務(wù)交往中要尊重一個人,首先就要懂得替他節(jié)省時間”,電子郵件禮 儀的一個重要方面就是節(jié)省他人時間,只把有價值的信息提供給需要的人。寫 Email 就能看出其人為人處世的態(tài)度。你作為發(fā)信人寫每封 Email 的時候,要想到收信人會怎樣看這封 Email,時刻站在對方立場考慮,將心比心。同時勿對別人之回答過度期望,當(dāng)然更不應(yīng)對別人之回答不屑一顧。
以下職業(yè)電子郵件中禮儀問題,希望能給您的工作帶來幫助!
一、關(guān)于郵件主題 主題是接收者了解郵件的第一信息,因此要提綱挈領(lǐng),使用有意義的主題行,這樣可以讓收件人迅速了解郵件內(nèi)容并判斷其重要性。
1.一定不要空白標(biāo)題,這是最失禮的;
2.標(biāo)題要簡短,不宜冗長,不要讓 outlook 用,才能顯示完你的標(biāo)題;
3.標(biāo)題要能反映文章的內(nèi)容和重要性,切忌使用含義不清的標(biāo)題,如“王先 生收”;
4.一封信盡可能只針對一個主題,不在一封信內(nèi)談及多件事情,以便于日后 整理;
5.可適當(dāng)用使用大寫字母或特殊字符(如“*!”等)來突出標(biāo)題,引起收件人注意,但應(yīng)適度,特別是不要隨便就用“緊急”之類的字眼;
6. 回復(fù)對方郵件時,可以根據(jù)回復(fù)內(nèi)容需要更改標(biāo)題,不要 RE、一大串。RE
二、關(guān)于稱呼與問候
1.恰當(dāng)?shù)胤Q呼收件者,拿捏尺度
1.1 郵件的開頭要稱呼收件人。這既顯得禮貌,也明確提醒某收件人,此郵 件是面向他的,要求其給出必要的回應(yīng);在多個收件人的情況下可以稱呼大家、ALL。
1.2 如果對方有職務(wù),應(yīng)按職務(wù)尊稱對方,如“x 經(jīng)理”;如果不清楚職務(wù),則應(yīng)按通常的“x 先生”、“x 小姐”稱呼,但要把性別先搞清楚。
1.3 不熟悉的人不宜直接稱呼英文名,對級別高于自己的人也不宜稱呼英文 名。稱呼全名也是不禮貌 的,不要逮誰都用個“Dear xxx”,顯得很熟絡(luò)。
2.Email 開頭結(jié)尾最好要有問候語 最簡單的開頭寫一個“HI”,中文的寫個“你好”;結(jié)尾常見的寫個 Bes t Regards,中文的寫個“祝您順利”之類的也就可以了。俗話說得好,“禮多人不怪”,禮貌一些,總是好的,即便郵件中有些地 方不妥,對方也能平靜的看待。
三、職場的電子郵件禮儀
1.Email 正文要簡明扼要,行文通順 Email 正文應(yīng)簡明扼要的說清楚事情;如果具體內(nèi)容確實很多,正文應(yīng)只 作摘要介紹,然后單獨(dú)寫個文件作為附件進(jìn)行詳細(xì)描述。正文行文應(yīng)通順,多用簡單詞匯和短句,準(zhǔn)確清晰的表達(dá),不要出現(xiàn)讓人 晦澀難懂的語句。
2.注意 Email 的論述語氣 根據(jù)收件人與自己的熟絡(luò)程度、等級關(guān)系;郵件是對內(nèi)還是對外性質(zhì)的不 同,選擇恰當(dāng)?shù)恼Z氣進(jìn)行論述,以免引起對方不適。尊重對方,請、謝謝之類的語句要經(jīng)常出現(xiàn)。電子郵件可輕易地轉(zhuǎn)給他人,因此對別人意見的評論必須謹(jǐn)慎而客觀。郵 “ 件門”就是深刻的教訓(xùn)!
3.Email 正文多用 1234 之類的列表,以清晰明確。如果事情復(fù)雜,最好 1、2、3、4 的列幾個段落進(jìn)行清晰明確的說明。保持你的每個段落簡短不冗長,沒人有時間仔細(xì)看你沒分段的長篇大論。
4.一次郵件交待完整信息 最好在一次郵件中把相關(guān)信息全部說清楚、說準(zhǔn)確。不要過兩分鐘之后再 發(fā)一封什么“補(bǔ)充”或者“更正”之類的郵件,這會讓人很反感。
5.盡可能避免拼寫錯誤和錯別字,注意使用拼寫檢查 這是對別人的尊重,也是自己態(tài)度的體現(xiàn)。如果是英文 Email,最好把拼寫檢查功能打開。在郵件發(fā)送之前,務(wù)必自己仔細(xì)閱讀一遍,檢查行文是否通順,拼寫是否 有錯誤。
6.合理提示重要信息 不要動不動就用大寫字母、粗體斜體、顏色字體、加大字號等手段對一些 信息進(jìn)行提示。合理的提 示是必要的,但過多的提示則會讓人抓不住重點,影 響閱讀。
7.合理利用圖片,表格等形式來輔助闡述 對于很多帶有技術(shù)介紹或討論性質(zhì)的郵件,單純以文字形式很難描述清 楚。如果配合圖表加以闡述,收件人一定會表揚(yáng)你的體貼。
8.不要動不動使用¤之類的笑臉字符,在商務(wù)信函里面這樣顯得比較輕佻 Business Email 不是你的情書,所以¤之類的最好慎用。只用在某些你確實需要強(qiáng)調(diào)出一定的輕松氣氛的場合。
四、夾帶附件
1.如果郵件帶有附件,應(yīng)在正文里面提示收件人查看附件;
2.附件文件應(yīng)按有意義的名字命名,不可用外星人才看懂的文件名;
3.正文中應(yīng)對附件內(nèi)容做簡要說明,特別是帶有多個附件時;
4.附件數(shù)目不宜超過 4個,數(shù)目較多時應(yīng)打包壓縮成一個文件;
5.如果附件是特殊格式文件,因在正文中說明打開方式,以免影響使用;
6.如果附件過大(不宜超過 2MB),應(yīng)分割成幾個小文件分別發(fā)送;
7.尊重對方的習(xí)慣,不主動發(fā)起英文郵件; 如果對方與你的郵件往來是采用中文,請不要自作聰明的發(fā)送英文郵件給 他;如果對方發(fā)英文郵件給你,也不要老土的用中文回復(fù)。
8.選擇便于閱讀的字號和字體。選擇便于閱讀的字號和字體。中文老實點用宋體或新宋體,英文就用 Verdana 或 Arial 字型,字號用 五號或 10 號字即可。這是經(jīng)研究證明最適合在線閱讀的字號和字體。不要用稀奇古怪的字體或斜體,最好不用背景信紙,特別對公務(wù)郵件。
五、結(jié)尾簽名 每封郵件在結(jié)尾都應(yīng)簽名,這樣對方可以清楚的知道發(fā)件人信息。雖然你的 朋友可能從發(fā)件人中認(rèn)出你,但不要為你的朋友設(shè)計這樣的工作。
1.簽名信息不宜過多 電子郵件消息末尾加上簽名檔是必要的。簽名檔可包括姓名、職務(wù)、公司、電話、傳真、地址等信息,但信息不宜行數(shù)過多,一般不超過 4 行。你只需將一些必要信息放在上面,對方如果需要更詳細(xì)的信息,自然會與你 聯(lián)系。引用一個短語作為你的簽名的一部分是可行的,比如你的座右銘,或公司 的宣傳口號。但是要分清收件人對象與場合,切記一定要得體。
2.不要只用一個簽名檔 對內(nèi)、對私、對熟悉的客戶等群體的郵件往來,簽名檔應(yīng)該進(jìn)行簡化。過 于正式的簽名檔會讓對方顯得疏遠(yuǎn)。你可以在 OUTLOOK 中設(shè)置多個簽名檔,靈活調(diào)用。
3.簽名檔文字應(yīng)選擇與正文文字匹配,簡體、繁體或英文,以免出現(xiàn)亂碼。字號一般應(yīng)選擇比正文字體小一些。
六、郵件回復(fù)
1.及時回復(fù) Email 收到他人的重要電子郵件后,即刻回復(fù)對方一下,往往還是不可少的,這是 對他人的尊重,理想的回復(fù)時間是 2 小時內(nèi),特別是對一些緊急重要的郵件。對每一份郵件都立即處理是很占用時間的,對于一些優(yōu)先級低的郵件可集中 在特定時間處理,但一般不要超過 24 小時。如果事情復(fù)雜,你無法及時確切回復(fù),那至少應(yīng)該及時的回復(fù)說“收到了”,我們正在處理,一旦有結(jié)果就會及時回復(fù)。不要讓對方苦苦等待,記?。杭皶r做 出響應(yīng),哪怕只是確認(rèn)一下收到了。如果你正在出差或休假,應(yīng)該設(shè)定自動回復(fù)功能,提示發(fā)件人,以免影響工 作。2.進(jìn)行針對性回復(fù) 當(dāng)回件答復(fù)問題的時候,最好把相關(guān)的問題抄到回件中,然后附上答案。不要用簡單的,那樣太生硬了,應(yīng)該進(jìn)行必要的闡述,讓對方一次性理解,避免 再反復(fù)交流,浪費(fèi)資源。
3.回復(fù)不得少于 10個字 對方給你發(fā)來一大段郵件,你卻只回復(fù)“是的”、“對”、“謝謝”、“已 知道” 等字眼,這是非 常不禮貌的。怎么著也要湊夠 10個字,顯示出你的尊重。
4.不要就同一問題多次回復(fù)討論,不要蓋高樓 如果收發(fā)雙方就同一問題的交流回復(fù)超過 3 次,這只能說明交流不暢,說 不清楚。此時應(yīng)采用電話 溝通等其它方式進(jìn)行交流后再做判斷。電子郵件有時并不是最好的交流方式。對于較為復(fù)雜的問題,多個收件人頻繁回復(fù),發(fā)表看法,把郵件越 RE 越高,這將導(dǎo)致郵件過于冗長笨拙而不可閱讀。此時應(yīng)即是對之前討論的結(jié)果進(jìn)行小結(jié),刪減瘦身,突出有用信息。
5.要區(qū)分 Reply 和 Reply All(區(qū)分單獨(dú)回復(fù)和回復(fù)全體)如果只需要單獨(dú)一個人知道的事,單獨(dú)回復(fù)給他一個人就行了。如果你對發(fā)件人提出的要求做出結(jié)論響應(yīng),應(yīng)該 replay all,讓大家都知 道;不要讓對方幫你完成 這件事情。如果你對發(fā)件人的提出的問題不清楚,或有不同的意見,應(yīng)該與發(fā)件人單獨(dú) 溝通,不要當(dāng)著所有人的面,不停的 RE 來 RE 去,與發(fā)件人討論。你們討論好了再告訴大家。不要向上司頻繁發(fā)送沒有確定結(jié)果的郵件。點擊“回復(fù)全部”前,要三思而行!
6.主動控制郵件的來往 為避免無謂的回復(fù),浪費(fèi)資源,可在文中指定部分收件人給出回復(fù),或在 文末添上以下語句:“全 部辦妥”、“無需行動”、“僅供參考,無需回復(fù)”。
七、正確使用發(fā)送,抄送,密送 正確使用發(fā)送,抄送,要區(qū)分 To 和 CC 還有 BCC(區(qū)分收件人、抄送人、秘送人)
1.To 的人是要受理這封郵件所涉及的主要問題的,理應(yīng)對郵件予以回復(fù)響 應(yīng)。
2.而 CC 的人則只是需要知道這回事,CC 的人沒有義務(wù)對郵件予以響應(yīng),當(dāng)然如果 CC 的人有建議,當(dāng)然可以回 Email。
3.而 BCC 是秘送,即收信人是不知道你發(fā)給了 BCC 的人了的。這個可能用 在非常的場合。
4.TO,CC 中的各收件人的排列應(yīng)遵循一定的規(guī)則。比如按部門排列;按職 位等級從高到低或從低到高都可以。適當(dāng)?shù)囊?guī)則有助于提升你的形象!
5.只給需要信息的人發(fā)送郵件,不要占用他人的資源。
6.轉(zhuǎn)發(fā)郵件要突出信息。
八、注意事項
1.在你轉(zhuǎn)發(fā)消息之前,首先確保所有收件人需要此消息;
2.轉(zhuǎn)發(fā)敏感或者機(jī)密信息要小心謹(jǐn)慎,不要把內(nèi)部消息轉(zhuǎn)發(fā)給外部人員,或 者未經(jīng)授權(quán)的接收人;
3.如果有需要 還應(yīng)對轉(zhuǎn)發(fā)郵件的內(nèi)容進(jìn)行修改和整理,以突出信息;
4.不要將 RE 了幾十層的郵件發(fā)給他人,讓人摸不著頭腦;
5.對外重要文件必須經(jīng)高階主管認(rèn)可簽字轉(zhuǎn)為 PDF 文件,或由高階主管親 自發(fā)送;
6.所有的電子郵件應(yīng)自我 Double check 后才發(fā)出。
【點評】
1、溝通的效果,面對面最好,電話次之,郵件最差;
2、以后發(fā)送的郵件切記不要出現(xiàn)無標(biāo)題之類,這樣給收件人后期查詢帶來很多 不便,同時也給收件人留下一個不好的印象;
3、如果前后發(fā)送同一個主題的郵件,但是郵件的內(nèi)容有所變化,應(yīng)在郵件標(biāo)題 中有所提示,如(更新)字樣,當(dāng)然,最好的方式是一步到位;
4、準(zhǔn)確把握收件人、抄送人、密送人的不同使用方法及不同;
5、一個郵件通常只包含一件事情;
6、郵件的征文應(yīng)突出主題,便于收件人閱讀所要表達(dá)的重點,如果內(nèi)容太多,可在郵件正文簡明扼要的概括下內(nèi)容要點,并注明詳細(xì)內(nèi)容請參看附件;
7、特殊格式的文件,需注明打開的方式,這樣給使用者會帶來更多的方便;
8、對財務(wù)人員來說,在報送報表、應(yīng)收賬款等情況時,可注明“**年**月** 公司**報表”,在報送應(yīng)收賬款時,可注明“**公司應(yīng)收賬款表(截止**月* *日)”,這樣可以使人更加方便的閱讀,也便于后期查看;
9、日常在發(fā)送郵件時,可以在 word 里面先進(jìn)行輸入,然后再復(fù)制到郵箱里,一方面在 word 里面便于編輯,另一方面 word 提供了自動保存功能,可以使 我們更高效的工作,最后還可以利用 word 提供的【工具】-【拼寫和語法】 來檢查是否存在語法錯誤;郵件溝通較之面對面交流的一大優(yōu)勢在于,你可以借助一切力量使得你撰寫的郵件準(zhǔn) 確無誤得表達(dá)你的意圖,而不必?fù)?dān)心發(fā)音不標(biāo)準(zhǔn)或語法錯誤等讓人尷尬的掉鏈子情況 發(fā)生?!?/p>
