一般來(lái)說(shuō),現(xiàn)在使用的商務(wù)英語(yǔ)書(shū)信的格式主要有兩種:傳統(tǒng)的縮頭式(the conventionalindented form)和現(xiàn)代的齊頭式(the modern blocked form)。
根據(jù)英國(guó)傳統(tǒng)做法,縮頭式要在信文每一段縮進(jìn)五或六個(gè)字母的空間,有時(shí)可能會(huì)縮進(jìn)更多?,F(xiàn)在,齊頭式在商務(wù)英語(yǔ)書(shū)信中使用得非常普遍。它的突出特點(diǎn)就是所有信的內(nèi)容都從信紙的左邊開(kāi)始,段落與段落之間要比縮頭式多空出兩到三行,以便于區(qū)分。這種格式被稱(chēng)作齊頭式(the fullblocked form)。但是,有時(shí)把日期放在信紙的左邊會(huì)給查找?guī)?lái)不便,所以,人們使用了一種改良的齊頭式(the modifiedblocked form),即把日期放在右邊,而把其他內(nèi)容放在左邊。
一般來(lái)說(shuō),我們通常使用單行距來(lái)布局一封信,這會(huì)使我們所寫(xiě)的信有一種緊湊感,但有些人在寫(xiě)短信的時(shí)候,更喜歡用雙行距。
根據(jù)個(gè)人或公司的喜好,可以選擇使用齊頭式或縮頭式。但不論選擇哪一種格式,一般商務(wù)英語(yǔ)書(shū)信的結(jié)構(gòu)都包括以下幾部分內(nèi)容:
(1)信頭(the lettermail 地址。信頭在信紙的最上方,有的公司把信頭直接印在所使用的信紙上。質(zhì)量?jī)?yōu)良的信紙以及一個(gè)整潔、勻稱(chēng)的信頭,可以展示一個(gè)公司的風(fēng)采,增強(qiáng)公司的信譽(yù)。
案號(hào)是寫(xiě)信時(shí)所給的、以便查詢(xún)的字母或數(shù)字。經(jīng)常以“Our ref”和“Your ref”來(lái)區(qū)分。它的位置一般是在信頭的右邊。而日期在信頭以下三行或四行,不管是齊頭式還是縮頭式,一般把日期放在右端,這可起到行尾的作用,使信看上去更整齊。在商務(wù)英語(yǔ)書(shū)信中,日期一定要寫(xiě)全,不能用數(shù)字的形式,因?yàn)槊绹?guó)和英國(guó)的日期標(biāo)示法是不同的。英國(guó)的日期標(biāo)示法是“24thMarch.2002”,而美國(guó)的日期標(biāo)示法則是“March24,2002”。月、日的后面用逗號(hào),年份后面不用標(biāo)點(diǎn)。
封內(nèi)名稱(chēng)和地址即收信人的名稱(chēng)和地址,要放在信紙的左上方,在日期以下三行或更多行,這可根據(jù)信的長(zhǎng)短來(lái)定。
封內(nèi)名稱(chēng)和地址要用齊頭式,緊靠信紙的左邊,這樣會(huì)使信看上去整齊。
開(kāi)頭稱(chēng)呼語(yǔ)是寫(xiě)信人開(kāi)始信文的禮貌用語(yǔ),一般商務(wù)英語(yǔ)書(shū)信中多用Dear Sir,Dear Sirs 或Gentlemen,并且獨(dú)立成行,在封內(nèi)名稱(chēng)和地址以下三行。在Dear Sir 或Dear Sirs 后面用逗號(hào),而在Gentlemen 后面用冒號(hào)。
信文是實(shí)質(zhì)性的內(nèi)容,信文的書(shū)寫(xiě)要求是簡(jiǎn)潔、清晰、禮貌;語(yǔ)法正確,切中要點(diǎn);段落劃分明確,每段集中于一個(gè)話(huà)題;打印準(zhǔn)確,布局要有藝術(shù)性,使你的信件看上去賞心悅目。尤其注意頁(yè)邊空欄,它是信文的框架。信文多用單行距,有些短信可用雙行距。
結(jié)尾敬語(yǔ)是信件結(jié)束時(shí)的一種禮貌用語(yǔ)。它只是一種禮貌用語(yǔ),在信中沒(méi)有實(shí)際意義,傳統(tǒng)使之成為必須,并已成為習(xí)慣,所以一直沿用至今。傳統(tǒng)的結(jié)尾敬語(yǔ)有: Yours faithfully,Yours truly(多用于美國(guó))等,也有人用倒裝的Faithfully yours,Truly yours 等。結(jié)尾敬語(yǔ)必須和信文緊連一起,不能分開(kāi),更不能把它單獨(dú)放到另一頁(yè)。如遇此種情況,則信件必須重新安排、打印。
簽署是寫(xiě)信人或其所代表公司的名稱(chēng)或標(biāo)記。公司名稱(chēng)可以打印,而主管人簽名則必須是手寫(xiě),兩者都不可用印章代替。這部分在結(jié)尾敬語(yǔ)以下三行,大約留出五行或更多的空間。
注意事項(xiàng)的習(xí)慣用語(yǔ)是:For the attention of 或簡(jiǎn)單的Attention,下面一般要加上橫線(xiàn)。當(dāng)信件是寫(xiě)給特定的人或主辦部門(mén)時(shí),則用此用語(yǔ)。它在開(kāi)頭稱(chēng)呼語(yǔ)以上兩行。除齊頭式外,可放在信文以上中間。
事由或標(biāo)題在開(kāi)頭稱(chēng)呼語(yǔ)以下兩行,下加橫線(xiàn),除齊頭式外,一般放在信文以上中間。經(jīng)常是用一詞或簡(jiǎn)單的幾個(gè)詞來(lái)表示信文的主題,讓收信人先對(duì)所談內(nèi)容有所了解。
經(jīng)辦人代號(hào)在簽署以下兩行。是打字員名字的首字母縮寫(xiě),可用小寫(xiě),也可用大寫(xiě)。
附件在經(jīng)辦人代號(hào)以下兩行。寫(xiě)信人可標(biāo)示出一個(gè)或多個(gè)信中所提到的附件。經(jīng)常使用的形式有: Enclosure,Enclosures,Encl.,Enc.等。
抄送在附件以下兩行。抄送有明、暗兩種方式。明示的標(biāo)記為cc,后面加上收件人或公司的名字,可打印在原件和復(fù)印件上。暗示的標(biāo)記為bcc,后加收件人或公司的名字,只打印在復(fù)印件上,并且只有寫(xiě)信人和收信人知道。
附言在抄送以下兩行。如寫(xiě)信人想增加些信中忘記提到的內(nèi)容,可用此方式,但應(yīng)盡量避免使用。因?yàn)樗赡軙?huì)給人一種錯(cuò)覺(jué),即在寫(xiě)信前,你未能很好地安排你的信件。這可能會(huì)影響到你的信譽(yù)。
在上述十三部分內(nèi)容中,前七部分是每一封商務(wù)英語(yǔ)信件所必需包含的內(nèi)容,而后幾部分則是可有可無(wú)的。
總之,當(dāng)你書(shū)寫(xiě)商務(wù)英語(yǔ)書(shū)信的時(shí)候,必須謹(jǐn)記:選定一種格式,堅(jiān)持使用,不能變來(lái)變?nèi)?;結(jié)構(gòu)中的內(nèi)容要安排合理得當(dāng),所必需的七部分內(nèi)容一個(gè)都不能少。布局好的信件是雙方交易的好的開(kāi)始。一封布局優(yōu)雅、端莊勻稱(chēng)的信件,會(huì)留給人一種良好的印象,促進(jìn)雙方的進(jìn)一步往來(lái),直至交易的達(dá)成。

商界人士在使用電子郵件對(duì)外進(jìn)行聯(lián)絡(luò)時(shí),應(yīng)當(dāng)遵守一定的禮義規(guī)范,如何正確使用電子郵件,撰寫(xiě)規(guī)范的商務(wù)Email,順利的進(jìn)行對(duì)外聯(lián)絡(luò)。下面做詳細(xì)介紹(Email的撰寫(xiě)禮義另外介紹)。撰寫(xiě)郵件有三種方式:寫(xiě)郵件、回復(fù)郵件、轉(zhuǎn)發(fā)郵件。三種方式各有所長(zhǎng),但在撰寫(xiě)格式方面都一至分為四點(diǎn):收件人,抄送,主題(標(biāo)題),內(nèi)容。
一、收件人
1.確認(rèn)傳送訊息的對(duì)象,并將人數(shù)降至最低。2.傳送電子訊息之前,確認(rèn)收信對(duì)象是否正確,以免造成不必要的困擾。
二、抄送
1.在必要和確定的情況下,抄送給相應(yīng)需要知道進(jìn)展情況的人員。2.一般情況下不要給普通客戶(hù)抄送。3.確認(rèn)抄送訊息的對(duì)象,并將人數(shù)降至最低,以免造成不必要的困擾。
三、主題 電子郵件一定要注明主題,因?yàn)橛性S多網(wǎng)絡(luò)使用者是以主題來(lái)決定是否繼續(xù)詳讀信件的內(nèi)容。此外,主題要明確、精練與內(nèi)容相關(guān),表達(dá)出對(duì)方需要了解的信息,而且可以區(qū)分對(duì)同一事物的不同信息。讓人一望即知,以便對(duì)方快速了解與記憶。
四、內(nèi)容在線(xiàn)溝通講求時(shí)效,所以電子郵件的內(nèi)容力求簡(jiǎn)明扼要,并求溝通效益。一般信件所用的起頭語(yǔ)、客套語(yǔ)、祝賀詞等,在在線(xiàn)溝通時(shí)都可以省略。但稱(chēng)呼,正文,結(jié)束,落款/簽名四點(diǎn)要盡量完整。
1、稱(chēng)呼 1)如果有收件人的姓名的話(huà),可以讓對(duì)方感覺(jué)更加友好。2)若知道對(duì)方的性別可以用:**先生、**小姐、**女士 3)如果知道對(duì)方的身份可以用:**總經(jīng)理、**經(jīng)理、**董事長(zhǎng)、×總、×董、×經(jīng)理
2、正文 正文做到主題明確,語(yǔ)言流暢,內(nèi)容簡(jiǎn)潔。在撰寫(xiě)正文時(shí)還應(yīng)注意以下幾點(diǎn),以示禮貌和尊重,以免造成不必要的困擾。1)在撰寫(xiě)英文信函時(shí),只對(duì)一兩個(gè)詞進(jìn)行大寫(xiě)以示強(qiáng)調(diào),全篇都用大寫(xiě)是不禮貌的。在撰寫(xiě)中文的時(shí)候,只對(duì)部分以示強(qiáng)調(diào)的詞采用加粗等方式。2)不要在信件中發(fā)泄不滿(mǎn),應(yīng)面對(duì)面的解決。3)回復(fù)信件時(shí),有必要加上部分的原文,以方便對(duì)方了解回信內(nèi)容。4)若摘錄的原文很長(zhǎng),應(yīng)先把回復(fù)內(nèi)容放到前面,原文內(nèi)容在后, 5)在收件人明白其意時(shí),才可使用俚語(yǔ)或縮寫(xiě)。6)如果有附件,應(yīng)該在正文處說(shuō)明附件的內(nèi)容和用途;

4、落款/簽名目前,有不少網(wǎng)民時(shí)常會(huì)因?yàn)樽约旱碾娮有畔渲卸褲M(mǎn)了無(wú)數(shù)的無(wú)聊的電子郵件,甚至是陌生人的電子郵件而煩心不堪。對(duì)其進(jìn)行處理,不僅會(huì)浪費(fèi)自己的時(shí)間和精力,而且還有可能會(huì)耽擱自己的正事,鑒于此,在商務(wù)郵件中應(yīng)該有落款/簽名,以示身份。

商務(wù)郵件 一.注意事項(xiàng)
寫(xiě)作是很重要的一部分,好的電子郵件不僅是語(yǔ)言水平的體現(xiàn),正常商務(wù)交流的前提。商務(wù)電子郵件有其自身的特點(diǎn),其實(shí)也不復(fù)雜,牢記下面5步即可輕松搞定
1.搞清發(fā)送郵件對(duì)象、郵箱地址
發(fā)送郵件之前,必須搞清楚發(fā)送郵件的對(duì)象、職位(以便稱(chēng)呼對(duì)方)以及郵箱地址。接收者郵箱地址;發(fā)送者郵箱地址;主題,即這份的主要內(nèi)容是什么。每一項(xiàng)都必須保證完全正確,簡(jiǎn)單明了地寫(xiě)清楚是什么事即可。
2.明確郵件目的
一般來(lái)講,商務(wù)電子郵件分為以下幾種:表達(dá)感謝、答復(fù)消息、表達(dá)歉意、通知、提
醒、確認(rèn)信息、提出要求、詢(xún)問(wèn)原因、提出建議。
3.正文內(nèi)容直奔主題
商務(wù)郵件不需要過(guò)多的寒暄,恰當(dāng)?shù)姆Q(chēng)呼和招呼之后就可直接進(jìn)入主題。第一句說(shuō)明郵件的目的,比如:表明郵件的目的是商討會(huì)議準(zhǔn)備,接下去再展開(kāi)具體內(nèi)容。商務(wù)郵件也不宜過(guò)長(zhǎng),闡述清楚即可,不需要過(guò)多修飾。
4.注意語(yǔ)氣和措辭
除了文字不出錯(cuò),說(shuō)話(huà)的語(yǔ)氣和措辭也要格外注意。同級(jí)之間、較為熟悉的工作伙伴之間可以采用非正式表達(dá),而和上司匯報(bào)工作、和客戶(hù)溝通則需要用正式。5.檢查文字
確保發(fā)送的郵件不要有文字上的錯(cuò)誤。文字上雖是小事,卻反映出辦事的態(tài)度,千萬(wàn)不要因?yàn)槲母迳嫌绣e(cuò)誤字體而給對(duì)方造成不好的印象。
有了以上5步的保駕護(hù)航,寫(xiě)出一封較為滿(mǎn)意的商務(wù)電子郵件就不是一件難事了。
二、關(guān)于主題
1.一定不要空白標(biāo)題。
2.最好寫(xiě)上來(lái)自**公司的郵件,以便對(duì)方一目了然,又便于留存。3.標(biāo)題要能真實(shí)反映文章的內(nèi)容和重要性,切忌使用含義不清的標(biāo)題。
4.一封信盡可能只針對(duì)一個(gè)主題,不在一封信內(nèi)談及多宗事情,以便于日后整理。
5.可適當(dāng)用使用大寫(xiě)字母字符(如“*!”等)來(lái)突出標(biāo)題,引起收件人注意,但應(yīng)適度,特別是不要隨便就用“緊急”之類(lèi)的字眼。6.回復(fù)對(duì)方郵件時(shí),應(yīng)當(dāng)根據(jù)回復(fù)內(nèi)容需要更改標(biāo)題,不要RE一大串。
7.最重要的一點(diǎn),主題千萬(wàn)不可出現(xiàn)錯(cuò)別字和不通順之處,切莫只顧檢查正文卻在發(fā)出前忘記檢查主題。
三、關(guān)于稱(chēng)呼與問(wèn)候 1.恰當(dāng)?shù)胤Q(chēng)呼收件者,拿捏尺度。
郵件的開(kāi)頭要稱(chēng)呼收件人。稱(chēng)呼是第一行頂格寫(xiě)。2.Email開(kāi)頭結(jié)尾最好要有問(wèn)候語(yǔ)
“你好”或者“您好”,開(kāi)頭問(wèn)候語(yǔ)是稱(chēng)呼換行空兩個(gè)寫(xiě)。結(jié)尾常見(jiàn)寫(xiě)個(gè)“祝您順利”之類(lèi)的。若是尊長(zhǎng)應(yīng)使用“此致敬禮”。注意,在非常正式的場(chǎng)合應(yīng)完全使用信件標(biāo)準(zhǔn)格式,“?!焙汀按酥隆睘榫o接上一行結(jié)尾或者換行開(kāi)頭空兩格,而“順利”和“敬禮”為再換行頂格寫(xiě)。
四、正文
1.Email正文要簡(jiǎn)明扼要,行文通順。
若對(duì)方不認(rèn)識(shí)你,第一件應(yīng)當(dāng)說(shuō)明的就是自己的身份,姓名或你代表的企業(yè)名稱(chēng)是必須通報(bào)的以示對(duì)對(duì)方的尊重。2.注意Email的論述語(yǔ)氣
尊重對(duì)方,請(qǐng)、謝謝之類(lèi)的語(yǔ)氣要經(jīng)常出現(xiàn)。3.Email正文多用1234之類(lèi)的列表,以清晰明確。
如果事情復(fù)雜,最好1、2、3、4的列幾個(gè)段落進(jìn)行清晰明確的說(shuō)明。保持你的每個(gè)段落簡(jiǎn)短干練。4.一次郵件交待完整信息
5.盡可能避免拼寫(xiě)錯(cuò)誤和錯(cuò)別字,注意使用拼寫(xiě)檢查
五、附件
1.如果郵件帶有附件,應(yīng)在正文里面提示收件人查看附件。2.附件文件應(yīng)按有意義的名字命名,最好能夠概括附件的內(nèi)容,方便收件人下載后管理。
3.正文中應(yīng)對(duì)附件內(nèi)容做簡(jiǎn)要說(shuō)明,特別是帶有多個(gè)附件時(shí)。4.附件數(shù)目不宜超過(guò)4個(gè),數(shù)目較多時(shí)應(yīng)打包壓縮成一個(gè)文件。5.如果附件是特殊格式文件,因在正文中說(shuō)明打開(kāi)方式,以免影響使用。
6.如果附件過(guò)大(不宜超過(guò)2MB),應(yīng)分割成幾個(gè)小文件分別發(fā)送。
六、語(yǔ)言的選擇和漢字編碼
中文用宋體或者新宋體,英文就用Verdana 或者 Arial字型,字號(hào)用五號(hào)或10號(hào)字即可。七.結(jié)尾簽名
1.簽名信息不宜過(guò)多。
電子郵件消息末尾加上簽名是必要的。簽名檔可包括姓名、職務(wù)、公司、電話(huà)、傳真、地址等信息,但不宜行數(shù)過(guò)多,一般不超過(guò)4行。
2.不要只用一個(gè)簽名檔
對(duì)內(nèi)、對(duì)私、對(duì)熟悉的客戶(hù)等群體的郵件往來(lái),簽名檔應(yīng)該進(jìn)行簡(jiǎn)化。過(guò)于正式的簽名檔會(huì)讓對(duì)方顯得疏遠(yuǎn)。你可以在OUTLOOK中設(shè)置多個(gè)簽名檔,靈活調(diào)用。
3.簽名檔文字應(yīng)選擇與正文文字匹配,字號(hào)一般應(yīng)選擇比正文字體小一些。注意:關(guān)于文件收件人及抄送
1、如果發(fā)給多個(gè)客戶(hù),職位高的郵箱地址放最前,再根據(jù)職位依次排列。
2、公司文檔發(fā)給客戶(hù),一般收件人為客戶(hù),要抄送給公司領(lǐng)導(dǎo)或部門(mén)領(lǐng)導(dǎo)。
3、如果該郵件需要提供給公司領(lǐng)導(dǎo)知道,又不想讓客戶(hù)知道,可以選擇添加密送給公司領(lǐng)導(dǎo)。
八、郵件的格式
