      一、崗位描述

      ⑴ 客戶(hù)取車(chē)前,引導(dǎo)客戶(hù)進(jìn)行財(cái)務(wù)結(jié)算,盡量引導(dǎo)客戶(hù)使用現(xiàn)金結(jié)算。⑵ 記賬類(lèi)客戶(hù)取車(chē)時(shí),必須取車(chē)人簽署姓名、電話(huà),并落實(shí)公司對(duì)應(yīng)負(fù)責(zé)人員,以便財(cái)務(wù)追討應(yīng)收賬款。

      一、日常接待

      1.接待來(lái)訪(fǎng)者:接待不明目的的來(lái)訪(fǎng)者,先問(wèn)清對(duì)方來(lái)訪(fǎng)原因,根據(jù)原因來(lái)看來(lái)者是否是無(wú)關(guān)人員,還是需要找公司相關(guān)人員再進(jìn)行接待。2.接待咨詢(xún)者,若有咨詢(xún)者來(lái)訪(fǎng),應(yīng)及時(shí)請(qǐng)實(shí)驗(yàn)室或辦公室相關(guān)工作人員來(lái)協(xié)助接待。

      3.接聽(tīng)轉(zhuǎn)接電話(huà):前臺(tái)是總機(jī)電話(huà),一般電話(huà)撥入后都需轉(zhuǎn)接其他分機(jī),根據(jù)通訊錄的分機(jī)號(hào)碼,準(zhǔn)確的進(jìn)行電話(huà)轉(zhuǎn)接;接聽(tīng)咨詢(xún)電話(huà),若在前臺(tái)接到咨詢(xún)電話(huà),如對(duì)方不明確自己的咨詢(xún)顧問(wèn)是誰(shuí),直接將電話(huà)轉(zhuǎn)接至相關(guān)部門(mén)助理處。

      4.接待推銷(xiāo)人員:上班時(shí)間若有其他公司的推銷(xiāo)人員上門(mén)推銷(xiāo),應(yīng)婉轉(zhuǎn)拒絕,告知上班時(shí)間在公司推銷(xiāo),會(huì)影響他人工作,若有員工需要他們的服務(wù),告知相關(guān)部門(mén)員工直接與其對(duì)接。

      5.面試人員:請(qǐng)面試人員在前臺(tái)處填寫(xiě)面試人員資料表,并帶領(lǐng)其前往會(huì)議室等待,通知辦公室主任或相關(guān)部門(mén)領(lǐng)導(dǎo)進(jìn)行面試。6.接待頻繁往來(lái)的相關(guān)人員:

      a)快遞,公司內(nèi)部不論發(fā)件或者寄件,均以電話(huà)通知相關(guān)員工至前臺(tái)處進(jìn)行處理,不能讓快遞員直接進(jìn)入公司內(nèi)部。b)物業(yè)公司,公司內(nèi)部的水電維修、物業(yè)規(guī)定的各項(xiàng)活動(dòng)的聯(lián)系工作; c)送水公司,關(guān)注公司各處飲水機(jī)水量情況,及時(shí)聯(lián)系送水,每次接待時(shí)只需要在送水公司的卡片上寫(xiě)清送水“XX”桶,拿走空桶“XX”個(gè)即可。每月月底結(jié)賬,填寫(xiě)請(qǐng)款單提交辦公室主任,向財(cái)務(wù)申請(qǐng)費(fèi)用支付。同時(shí)關(guān)注公司飲水機(jī)是否正常,如有異常及時(shí)通知飲水公司進(jìn)行維修。(二)、辦公用品管理

      1.盤(pán)庫(kù):每月23-25日對(duì)庫(kù)存的辦公用品進(jìn)行全面盤(pán)點(diǎn),制作“辦公用品庫(kù)存統(tǒng)計(jì)表”提交辦公室主任審查。若有用品數(shù)量不足或已領(lǐng)用完,即時(shí)上報(bào),進(jìn)行補(bǔ)充;

      2.購(gòu)買(mǎi):每月25-28日通知公司各部門(mén)提交下月所需的辦公用品清單,統(tǒng)計(jì)出“購(gòu)買(mǎi)清單”后報(bào)辦公室主任審批。批準(zhǔn)后,聯(lián)系辦公用品供應(yīng)商送貨;

      3.領(lǐng)用:?jiǎn)T工領(lǐng)用所需辦公用品時(shí),讓其填寫(xiě)“辦公用品領(lǐng)用表”并簽字,然后給予發(fā)放;

      4.結(jié)算:每月底聯(lián)系辦公用品供應(yīng)商提供本月未結(jié)貨款清單及發(fā)票,確認(rèn)無(wú)誤后,填寫(xiě)支出單,報(bào)財(cái)務(wù)人員審批后通知供應(yīng)商前往領(lǐng)款。(三)、日常事務(wù)

      1.保證行政電子設(shè)備的正常使用,包括:掃描儀、傳真機(jī)、復(fù)印機(jī)等,若機(jī)器出現(xiàn)故障,及時(shí)聯(lián)系供應(yīng)商解決問(wèn)題; 2.每周一定時(shí)查看公司信箱,將信件發(fā)放至員工手中;

      3.公司備用門(mén)卡的管理,前臺(tái)應(yīng)妥善保管備用鑰匙以備公司人員有緊急情況時(shí)使用;

      4.公司有人員招聘時(shí),協(xié)助綜合部門(mén)電話(huà)通知應(yīng)聘人員各項(xiàng)事宜; 5.收發(fā)傳真,協(xié)助各部門(mén)員工收發(fā)業(yè)務(wù)傳真;

      6.協(xié)助辦公室主任組織協(xié)調(diào)公司內(nèi)部活動(dòng),如員工生日會(huì)、公司集體活動(dòng)、拓展等業(yè)務(wù)的聯(lián)系、通知、協(xié)調(diào)事宜。

      7.新員工入職時(shí),提供入職表格、辦公用品、公司通訊錄等,并收取新員工的個(gè)人身份證明(身份證、學(xué)歷學(xué)位證、戶(hù)口本、照片)的復(fù)印件,提交辦公室主任整理歸檔。

      8.積極配合公司的市場(chǎng)宣傳活動(dòng),做好后勤保障工作。(四)、接待工作 1.接待前準(zhǔn)備工作

      a)來(lái)客人數(shù)確認(rèn):會(huì)議前向相關(guān)負(fù)責(zé)人確認(rèn)來(lái)客人數(shù),為布置會(huì)議室及訂餐做準(zhǔn)備;

      b)會(huì)議室桌椅布置:在開(kāi)會(huì)前將會(huì)議室的桌面收拾整潔,會(huì)議椅歸位; c)茶水及點(diǎn)心:會(huì)議前準(zhǔn)備好茶、熱水及杯子,等來(lái)客就位后逐個(gè)送茶;接待貴客時(shí),應(yīng)提前準(zhǔn)備必要的水果及點(diǎn)心供開(kāi)會(huì)人員食用; d)相機(jī):準(zhǔn)備公司相機(jī),為來(lái)客拍照留念所用。

      e)訂餐:向會(huì)議負(fù)責(zé)人確認(rèn)是否需要訂餐,如需訂餐應(yīng)確認(rèn)就餐人數(shù)后,電話(huà)聯(lián)系餐廳預(yù)訂包房;

      f)預(yù)訂酒店:如需為來(lái)客預(yù)訂酒店,確認(rèn)主客姓名后,電話(huà)聯(lián)系酒店預(yù)訂房間,預(yù)訂成功后向辦公室主任匯報(bào)確認(rèn)。2.會(huì)議中服務(wù)工作 a)為開(kāi)會(huì)人員添加茶水; b)按照領(lǐng)導(dǎo)要求提供會(huì)議支持; c)安排專(zhuān)人負(fù)責(zé)會(huì)議中的攝像工作; 3.會(huì)議后完善工作

      a)組織來(lái)客及公司領(lǐng)導(dǎo)合影留念,并將照片發(fā)至來(lái)訪(fǎng)者郵箱內(nèi)或作為賀卡發(fā)送。

      b)如遇重要客戶(hù)來(lái)訪(fǎng),應(yīng)及時(shí)將會(huì)議相片資料上傳至公司網(wǎng)站內(nèi)。c)會(huì)議后的清理工作:將剩余茶水及茶杯清理干凈,未食用的點(diǎn)心整理歸入茶點(diǎn)處,以備公司員工食用;

      d)會(huì)議后器材的歸庫(kù):會(huì)議后器材應(yīng)及時(shí)歸庫(kù),將相機(jī)及其他器材放回原處;
