2012BEC考試電子郵件寫作步驟
商務(wù)英語中,電子郵件(email)寫作是很重要的一部分,好的電子郵件不僅是英語水平的體現(xiàn),更是保障正常商務(wù)交流的前提。
商務(wù)電子郵件有其自身的特點(diǎn),其實(shí)也不復(fù)雜,牢記下面4步即可輕松搞定email!
1.搞清發(fā)送郵件對象、郵箱地址
發(fā)送郵件之前,必須搞清楚發(fā)送郵件的對象、職位(以便稱呼對方)以及郵箱地址。
To:email接收者郵箱地址;From:email發(fā)送者郵箱地址;CC:抄送;Subject:主題,即這份email的主要內(nèi)容是什么。每一項(xiàng)都必須保證完全正確,Subject簡單明了地寫清楚是什么事即可,比如:pricing policy meeting(定價(jià)政策會議);letter of application(申請信).2.明確郵件目的一般來講,商務(wù)電子郵件分為以下幾種:表達(dá)感謝(Thanking)、答復(fù)消息(Responding)、表達(dá)歉意(Apologizing)、通知(Announcing)、提醒(Reminding)、確認(rèn)信息(Making Confirmation)、提出要求(Requesting)、詢問原因(Inquiring)、提出建議(Making suggestions)等。
每種類型都會相應(yīng)的句型可供參考,這里以表達(dá)感謝和詢問原因?yàn)槔?/p>
表達(dá)感謝可以用Thank you for v+ing/ your reply.開頭;詢問原因時(shí),可以用Could you tell me...? Would it be possible for you to let me know...? I wonder if you could explain...等句型。對于英語基礎(chǔ)不是特別扎實(shí)的同學(xué)來說,適當(dāng)積累一些常用句型,對提高商務(wù)郵件書寫能力及工作效率是很有幫助的。在平時(shí)多積累的基礎(chǔ)上也可以閱讀一些書籍參考,比如《商務(wù)英語周末課堂—電子郵件英語》。
3.正文內(nèi)容直奔主題
商務(wù)郵件不需要過多的寒暄,恰當(dāng)?shù)姆Q呼和招呼之后就可直接進(jìn)入主題。第一句說明郵件的目的,比如:I'd like to discuss the meeting preparation with you.表明郵件的目的是商討會議準(zhǔn)備,接下去再展開具體內(nèi)容。商務(wù)郵件也不宜過長,闡述清楚即可,不需要過多修飾。
4.注意語氣和措辭
除了英語不出錯(cuò),說話的語氣和措辭也要格外注意。同級之間、較為熟悉的工作伙伴之間可以采用非正式(informal)表達(dá),而和上司匯報(bào)工作、和客戶溝通則需要用正式(formal)用語。比如提出建議時(shí),非正式場合可以說How is...for you? Is...ok for you? 正式用語則要說成When would be convenient for you?
5.檢查拼寫
確保發(fā)送的郵件不要有拼寫錯(cuò)誤,可以先用電腦自動檢查一遍,不確定的單詞查字典確認(rèn)。拼寫雖是小事,卻反映出辦事的態(tài)度,千萬不要因?yàn)槠磳懚o對方造成不好的印象。有了以上5步的保駕護(hù)航,寫出一封較為滿意的商務(wù)電子郵件就不是一件難事了。
