怎么別扭。即使是商務(wù)英語(yǔ)專(zhuān)業(yè)畢業(yè)的朋友,也會(huì)對(duì)英文寫(xiě)作覺(jué)得難以下筆。其實(shí),很多時(shí)候,書(shū)面的信函,只要了解基本的段落分層,參考一些常用的句式,并結(jié)合商業(yè)信函的特點(diǎn),我們都可以寫(xiě)出漂亮的英文信!
在外貿(mào)過(guò)程中,我們跟買(mǎi)家的郵件溝通,主要集中在Marketing Letter(推廣信)、Enquiry(詢(xún)盤(pán)回復(fù))、Offer(報(bào)價(jià))以及Counter-offer(還價(jià))環(huán)節(jié)。我們將分成三部分逐一給大家介紹。
開(kāi)發(fā)新客戶(hù)的時(shí)候,一封文筆漂亮、重點(diǎn)突出、語(yǔ)法標(biāo)準(zhǔn)的英文開(kāi)發(fā)信,能很好地傳遞給買(mǎi)家公

1)Dear 是比較禮貌的用詞。Hi 則更適用于朋友之間的聯(lián)系 所用。
2)盡量稱(chēng)呼對(duì)方的姓名。如果不清楚對(duì)方的性別,使用Dear Sir/Madam 來(lái)稱(chēng)呼對(duì)方。
3)第一段的第一句話(huà)一般是言簡(jiǎn)意賅的介紹“來(lái)意”(在哪 里看到的信息,這個(gè)是我們平時(shí)容易忽視的,卻是買(mǎi)家關(guān) 注的。因?yàn)閷?duì)方需要通過(guò)這個(gè)信息確認(rèn)我們是否正確地了 解到他的需求。)

1)盡量如實(shí)地向買(mǎi)家介紹自己的產(chǎn)品。如果有可能,盡可能 地了解買(mǎi)家對(duì)產(chǎn)品的需求,有的放矢地介紹。如澳大利亞 做馬桶生意的買(mǎi)家,其網(wǎng)站上明確提出”O(jiān)nly those with A/S standards will be answered.”那么Watermark 認(rèn)證的馬桶,就應(yīng)該在郵件中明確提出”The toilets we produce pass the Watermark standard.So we think we must be the right supplier you are looking for”。
2)其次,表明自己對(duì)對(duì)方市場(chǎng)的了解,告知對(duì)方自己的產(chǎn)品 符合對(duì)方市場(chǎng)的標(biāo)準(zhǔn),將有利于對(duì)方在本土市場(chǎng)獲得更大 的利潤(rùn)。

Brief(言簡(jiǎn)意賅): 不需要花過(guò)多的篇 幅介紹自己的公司和自己的產(chǎn)品。要知道,來(lái)自陌生人的郵件,買(mǎi)家不會(huì)花太多時(shí)間 去閱讀。我們需要讓買(mǎi)家快速了解到我們 是做什么產(chǎn)品的以及我們的重點(diǎn)優(yōu)勢(shì),否 則,我們精心準(zhǔn)備好的郵件就很有可能直 接進(jìn)入到“已刪除郵件”甚至被拉入“垃 圾文件”。所以一封有效的開(kāi)發(fā)信應(yīng)該主 題上和內(nèi)容上都做到簡(jiǎn)潔明了,并簡(jiǎn)明扼 要地介紹自己的產(chǎn)品特點(diǎn)。
Straightforward(直截了當(dāng)): 郵件第一段 直接說(shuō)明“來(lái)意”。介紹產(chǎn)品的時(shí)候,也要直

Polite(有理有節(jié)): Business is business。商 務(wù)場(chǎng)合下必要的禮節(jié)會(huì)為您贏得分?jǐn)?shù)?!盰our prompt reply is highly appreciated”聽(tīng)上去是不 是比”P(pán)lease reply to me as soon as possible”更 貼心?另外,在書(shū)面信件中,盡量不要使用 pls,assp等非正式的縮寫(xiě)。
四要素助您寫(xiě)作有效的推廣信 投其所好: 動(dòng)筆之前,設(shè)身處地地為 對(duì)方著想。每句話(huà)都考慮迎合對(duì)方的需求(需要什么樣的產(chǎn)品、服務(wù))、愿望(是要 開(kāi)拓新市場(chǎng)還是維護(hù)老客戶(hù))、好惡(投 其所好,避其所惡)和夢(mèng)想。言簡(jiǎn)意賅: 不要過(guò)分追求華麗的句型。簡(jiǎn)單來(lái)說(shuō),推廣信所用的語(yǔ)言,應(yīng)該跟就 餐時(shí)的談話(huà)一樣通俗易懂。好處、利潤(rùn)、利益: 重點(diǎn)放在我們的 產(chǎn)品能為對(duì)方帶來(lái)什么好處,而不是夸夸 其談自己的產(chǎn)品和服務(wù)有多么優(yōu)秀。舉個(gè) 簡(jiǎn)單的例子:購(gòu)買(mǎi)音響的人,不會(huì)關(guān)注這 部音響有多少根線(產(chǎn)品),他關(guān)心的是 音響的效果如何(好處)。所以在我們的 信函中,要著重告訴客戶(hù)我們的產(chǎn)品能給 他帶來(lái)什么好處,帶來(lái)什么利潤(rùn)。
“拉關(guān)系”: 在信件中,注意多使用”You”。這樣的稱(chēng)呼會(huì)讓您在寫(xiě)信中不自覺(jué)地將郵件 當(dāng)成與對(duì)方的對(duì)話(huà),營(yíng)造身臨其境的感覺(jué),對(duì)方讀上去也更容易產(chǎn)生共鳴。
信函中(信、宣傳冊(cè)或郵件)的文字,都需要遵循簡(jiǎn)單的規(guī)則:首先,我們的信 件一定要能引起對(duì)方的注意,尤其是信件 的標(biāo)題,一個(gè)好的標(biāo)題能第一時(shí)間吸引對(duì) 方的注意;其次是要引起對(duì)方的興趣。對(duì) 方有了興趣,才會(huì)對(duì)我們的產(chǎn)品或服務(wù)產(chǎn) 生真正的需求。但是,如果對(duì)方不采取任 何行動(dòng),前面兩點(diǎn)做的再好也沒(méi)有意義。所以最后一點(diǎn),在信函中,明確告知對(duì)方 要與我們建立聯(lián)系,需要采取什么行動(dòng)(回 信,索要產(chǎn)品圖冊(cè)或是索要樣品等),激 發(fā)對(duì)方的回應(yīng)(獲得買(mǎi)家回復(fù)),為下一 步的議價(jià)提供可能。
推廣信寫(xiě)好了,最后不要忘了檢查郵 件的拼寫(xiě)錯(cuò)誤。建議用word 檢查,因?yàn)?郵件一般沒(méi)有拼寫(xiě)檢查功能。檢查完畢,我們就可以把漂亮的郵件發(fā)送給買(mǎi)家了!

10.應(yīng)付難辦的客戶(hù)
