      其實(shí)我覺(jué)得開(kāi)發(fā)信這個(gè)東西就像我們國(guó)內(nèi)做電話(huà)銷(xiāo)售一樣,我想每個(gè)外貿(mào)人都很討厭每天一大堆的網(wǎng)絡(luò)推廣電話(huà),我想老外和我們應(yīng)該是一樣的心情。所以我覺(jué)得做外貿(mào)的不容易的,每天辛辛苦苦找郵箱發(fā)開(kāi)發(fā)信,而且還被人討厭,看都沒(méi)看就刪了。有的說(shuō)喜歡簡(jiǎn)短的開(kāi)發(fā)信,有的喜歡有點(diǎn)專(zhuān)業(yè)性的比較長(zhǎng)一點(diǎn)的開(kāi)發(fā)信,至于到底怎么樣,我有兩種版本經(jīng)常換著發(fā),要多多準(zhǔn)備幾封進(jìn)行追蹤,郵箱最好設(shè)上閱讀回執(zhí),對(duì)有閱讀回執(zhí)的郵件進(jìn)行追蹤,幾周幾個(gè)月時(shí)不時(shí)的騷擾一下。要用不同的版本,要不發(fā)一樣的,看不看都刪了,沒(méi)什么新意。我開(kāi)發(fā)信的內(nèi)容很大眾化就不貼上來(lái)了。呵呵

      還有一點(diǎn)是開(kāi)發(fā)信得主題,反正我不喜歡什么how are you,Hi,my friend,什么的,就用產(chǎn)品名稱(chēng),或者用RE:貌似比較有效果,呵呵,還有可以突發(fā)奇想,比如有一天我用的標(biāo)題是your water need treatment,(我們做水處理過(guò)濾產(chǎn)品的)結(jié)果發(fā)過(guò)去一會(huì)就有人回復(fù)說(shuō)介紹一下詳細(xì)catalog 什么的。當(dāng)然可能是運(yùn)氣什么的發(fā)開(kāi)發(fā)信需要堅(jiān)持,不要沒(méi)有效果就放棄然后再抱怨怎么沒(méi)效果啊沒(méi)效果啊,因?yàn)殚_(kāi)發(fā)信本身的是一個(gè)概率問(wèn)題,成功率本身就比較低的。所以那句話(huà)叫什么來(lái)著 廣撒網(wǎng)才能網(wǎng)大魚(yú)。前輩的話(huà)是有道理的。

      有時(shí)間我整理一下自己的郵件或者用的好的黃頁(yè)再分享給大家,呵呵先寫(xiě)到這吧,有時(shí)間再寫(xiě),不能一下午光更新,呵呵

      spoken English)Something went wrong.情況不妙啊(出了問(wèn)題/麻煩).內(nèi)似的表達(dá)有:“There is something wrong with sth”.什么出了麻煩/有毛病等.例如:What ’s wrong with you, you look depressed--你看上去很消沉,發(fā)生什么事了

      2)You are welcome,you deserve it.不客氣,應(yīng)該的!“deaerve”(v)-應(yīng)該得,值得.3)Not necessarily.不見(jiàn)得.這個(gè)短語(yǔ)在日常生活中用得較多.請(qǐng)牢牢記住,很實(shí)用的!

      4)I am embarrassed to take so many gifts.拿這么多的禮物我真不好意思(意思是--你送我這么多禮物真不好意思.當(dāng)然“embarrassed”還可以指“別人給你難堪而感到尷尬的意思”.例如:You scolded me in public,I am embarrassed!---你在公共場(chǎng)合訓(xùn)我真讓我感到尷尬.5)I don’t deserve this/I am flattered.我不敢當(dāng)(意思是你太夸我了)“Flatter”(v)---吹捧,奉承,過(guò)分夸獎(jiǎng)等.6)The game came out even.比賽不分勝負(fù).“even”扯平的,互不相讓的“

      7)Ask for a leave/I ask to use a sick leave today.請(qǐng)假/請(qǐng)病假

      8)I told you(early).我不是早就告訴你了/我不是早說(shuō)了!

      9)It ’s better than nothing.總比沒(méi)有好!這句非常實(shí)用,用來(lái)安慰別人是非常漂亮的句子!

      10)Let’s get down to business.我們談?wù)掳?我們轉(zhuǎn)入正題吧!”It’s late,let’s get down to business".---時(shí)候不早了,讓我們談?wù)?/p>

      第五篇:如何回復(fù)工作郵件

      “在商務(wù)交往中要尊重一個(gè)人,首先就要懂得替他節(jié)省時(shí)間”,電子郵件禮儀的一個(gè)重要方面就是節(jié)省他人時(shí)間,只把有價(jià)值的信息提供給需要的人。

      要區(qū)分To和CC還有BCC(區(qū)分收件人、抄送人、秘送人)

      1.To的人是要受理這封郵件所涉及的主要問(wèn)題的,理應(yīng)對(duì)郵件予以回復(fù)響應(yīng)。(收件者:就具體某項(xiàng)工作而已,一般指直接處理者、需要跟進(jìn)者、需要回復(fù)者)

      2.而CC的人則只是需要知道這回事,CC的人沒(méi)有義務(wù)對(duì)郵件予以響應(yīng),當(dāng)然如果CC的人有建議,當(dāng)然可以回Email.(抄送:指只需要知道,例如:上級(jí)、其他相關(guān)需知道的部門(mén)的同事)

      3.而B(niǎo)CC是秘送,即收信人是不知道你發(fā)給了BCC的人了的。這個(gè)可能用在非常規(guī)場(chǎng)合。

      4.TO,CC中的各收件人的排列應(yīng)遵循一定的規(guī)則。比如按部門(mén)排列;按職位等級(jí)從高到低或從低到高都可以。適當(dāng)?shù)囊?guī)則有助于提升你的形象!

      5.只給需要信息的人發(fā)送郵件,不要占用他人的資源

      6、轉(zhuǎn)發(fā)郵件要突出信息

      在你轉(zhuǎn)發(fā)消息之前,首先確保所有收件人需要此消息。除此之外,轉(zhuǎn)發(fā)敏感或者機(jī)密信息要小心謹(jǐn)慎,不要把內(nèi)部消息轉(zhuǎn)發(fā)給外部人員或者未經(jīng)授權(quán)的接收人。

      如果有需要還應(yīng)對(duì)轉(zhuǎn)發(fā)郵件的內(nèi)容進(jìn)行修改和整理,以突出信息。不要將RE了幾十層的郵件發(fā)給他人,讓人摸不著頭腦。關(guān)于主題

      主題是接收者了解郵件的第一信息,因此要提綱挈領(lǐng),使用有意義的主題行,這樣可以讓收件人迅速了解郵件內(nèi)容并判斷其重要性。

      1.一定不要空白標(biāo)題,這是最失禮的

      2.標(biāo)題要簡(jiǎn)短,不宜冗長(zhǎng),不要讓Outlook用?才能顯示完你的標(biāo)題

      3.標(biāo)題要能真反映文章的內(nèi)容和重要性,切忌使用含義不清的標(biāo)題,如“王先生收”

      4.一封信盡可能只針對(duì)一個(gè)主題,不在一封信內(nèi)談及多件事情,以便于日后整理

      5.可適當(dāng)用使用大寫(xiě)字母或特殊字符(如“*!”等)來(lái)突出標(biāo)題,引起收件人注意,但應(yīng)適度,特別是不要隨便就用“緊急”之類(lèi)的字眼。

      6.回復(fù)對(duì)方郵件時(shí),可以根據(jù)回復(fù)內(nèi)容需要更改標(biāo)題,不要RERE一大串。關(guān)于稱(chēng)呼與問(wèn)候

      1.恰當(dāng)?shù)胤Q(chēng)呼收件者,拿捏尺度

      郵件的開(kāi)頭要稱(chēng)呼收件人。這既顯得禮貌,也明確提醒某收件人,此郵件是面向他的,要求其給出必要的回應(yīng);在多個(gè)收件人的情況下可以稱(chēng)呼大家、ALL.如果對(duì)方有職務(wù),應(yīng)按職務(wù)尊稱(chēng)對(duì)方,如“x經(jīng)理”;如果不清楚職務(wù),則應(yīng)按通常的“x先生”、“x小姐”稱(chēng)呼,但要把性別先搞清楚。

      不熟悉的人不宜直接稱(chēng)呼英文名,對(duì)級(jí)別高于自己的人也不宜稱(chēng)呼英文名。稱(chēng)呼全名也是不禮貌的,不要逮誰(shuí)都用個(gè)“Dearxxx”,顯得很熟絡(luò)。

      2.Email開(kāi)頭結(jié)尾最好要有問(wèn)候語(yǔ)

      最簡(jiǎn)單的開(kāi)頭寫(xiě)一個(gè)“HI”,中文的寫(xiě)個(gè)“你好”;結(jié)尾常見(jiàn)的寫(xiě)個(gè)BestRegards,中文的寫(xiě)個(gè)“祝您順利”之類(lèi)的也就可以了。

      俗話(huà)說(shuō)得好,“禮多人不怪”,禮貌一些,總是好的,即便郵件中有些地方不妥,對(duì)方也能平靜的看待。關(guān)于正文

      1.Email正文要簡(jiǎn)明扼要,行文通順

      Email正文應(yīng)簡(jiǎn)明扼要的說(shuō)清楚事情;如果具體內(nèi)容確實(shí)很多,正文應(yīng)只作摘要介紹,然后單獨(dú)寫(xiě)個(gè)文件作為附件進(jìn)行詳細(xì)描述。

      正文行文應(yīng)通順,多用簡(jiǎn)單詞匯和短句,準(zhǔn)確清晰的表達(dá),不要出現(xiàn)讓人晦澀難懂的語(yǔ)句。最好不要讓人家拉滾動(dòng)條才能看完你的郵件,千萬(wàn)不要學(xué)唐僧。

      2.注意Email的論述語(yǔ)氣

      根據(jù)收件人與自己的熟絡(luò)程度、等級(jí)關(guān)系;郵件是對(duì)內(nèi)還是對(duì)外性質(zhì)的不同,選擇恰當(dāng)?shù)恼Z(yǔ)氣進(jìn)行論述,以免引起對(duì)方不適。

      尊重對(duì)方,請(qǐng)、謝謝之類(lèi)的語(yǔ)句要經(jīng)常出現(xiàn)。

      電子郵件可輕易地轉(zhuǎn)給他人,因此對(duì)別人意見(jiàn)的評(píng)論必須謹(jǐn)慎而客觀(guān)?!班]件門(mén)”就是深刻的教訓(xùn)!

      3.Email正文多用1234之類(lèi)的列表,以清晰明確。

      如果事情復(fù)雜,最好1、2、3、4的列幾個(gè)段落進(jìn)行清晰明確的說(shuō)明。保持你的每個(gè)段落簡(jiǎn)短不冗長(zhǎng),沒(méi)人有時(shí)間仔細(xì)看你沒(méi)分段的長(zhǎng)篇大論。

      4.一次郵件交待完整信息

      最好在一次郵件中把相關(guān)信息全部說(shuō)清楚,說(shuō)準(zhǔn)確。不要過(guò)兩分鐘之后再發(fā)一封什么“補(bǔ)充”或者“更正”之類(lèi)的郵件,這會(huì)讓人很反感。

      5.盡可能避免拼寫(xiě)錯(cuò)誤和錯(cuò)別字,注意使用拼寫(xiě)檢查

      這是對(duì)別人的尊重,也是自己態(tài)度的體現(xiàn)。如果是英文Email,最好把拼寫(xiě)檢查功能打開(kāi);如果是中文Email,注意拼音輸入法帶給你的弱智同音別字。

      在郵件發(fā)送之前,務(wù)必自己仔細(xì)閱讀一遍,檢查行文是否通順,拼寫(xiě)是否有錯(cuò)誤。

      6.合理提示重要信息

      不要?jiǎng)硬粍?dòng)就用大寫(xiě)字母、粗體斜體、顏色字體、加大字號(hào)等手段對(duì)一些信息進(jìn)行提示。合理的提示是必要的,但過(guò)多的提示則會(huì)讓人抓不住重點(diǎn),影響閱度。

      7.合理利用圖片,表格等形式來(lái)輔助闡述

      對(duì)于很多帶有技術(shù)介紹或討論性質(zhì)的郵件,單純以文字形式很難描述清楚。如果配合圖表加以闡述,收件人一定會(huì)表?yè)P(yáng)你的體貼。

      8.不要?jiǎng)硬粍?dòng)使用:)之類(lèi)的笑臉字符,在商務(wù)信函里面這樣顯得比較輕佻

      Business Email不是你的情書(shū),所以:)之類(lèi)的最好慎用。只用在某些你確實(shí)需要強(qiáng)調(diào)出一定的輕松氣氛的場(chǎng)合,比如現(xiàn)在-:)附件

      1.如果郵件帶有附件,應(yīng)在正文里面提示收件人查看附件

      2.附件文件應(yīng)按有意義的名字命名,不可用外星人才看懂的文件名

      3.正文中應(yīng)對(duì)附件內(nèi)容做簡(jiǎn)要說(shuō)明,特別是帶有多個(gè)附件時(shí)

      4.附件數(shù)目不宜

      超過(guò)4個(gè),數(shù)目較多時(shí)應(yīng)打包壓縮成一個(gè)文件

      5.如果附件是特殊格式文件,因在正文中說(shuō)明打開(kāi)方式,以免影響使用

      6.如果附件過(guò)大(不宜超過(guò)2MB),應(yīng)分割成幾個(gè)小文件分別發(fā)送,語(yǔ)言的選擇和漢字編碼

      1.只在必要的時(shí)候才使用英文郵件

      英文郵件只是交流的工具,而不是用來(lái)炫耀和鍛煉英文水平的。如果收件人中有外籍人士,應(yīng)該使用英文郵件交流;如果收件人是其他國(guó)家和地區(qū)的華人,也應(yīng)采用英文交流,由于存在中文編碼的問(wèn)題,你的中文郵件在其他地區(qū)可能顯示成為亂碼天書(shū)。

      2.尊重對(duì)方的習(xí)慣,不主動(dòng)發(fā)起英文郵件

      如果對(duì)方與你的郵件往來(lái)是采用中文,請(qǐng)不要自作聰明的發(fā)送英文郵件給他;如果對(duì)方發(fā)英文郵件給你,也不要老土的用中文回復(fù)。

      3.對(duì)于一些信息量豐富或重要的郵件,建議使用中文。你很難保證你的英文表達(dá)水平或收件人中某人的英文理解水平存在問(wèn)題,而影響郵件所涉及問(wèn)題的解決。

      4.選擇便于閱度的字號(hào)和字體

      中文老實(shí)點(diǎn)用宋體或新宋體,英文就用Verdana或Arial字型,字號(hào)用五號(hào)或10號(hào)字即可。這是經(jīng)研究證明最適合在線(xiàn)閱度的字號(hào)和字體。不要用稀奇古怪的字體或斜體,最好不用背景信紙,特別對(duì)公務(wù)郵件。結(jié)尾簽名

      每封郵件在結(jié)尾都應(yīng)簽名,這樣對(duì)方可以清楚的知道發(fā)件人信息。雖然你的朋友可能從發(fā)件人中認(rèn)出你,但不要為你的朋友設(shè)計(jì)這樣的工作。

      1.簽名信息不宜過(guò)多

      電子郵件消息末尾加上簽名檔是必要的。簽名檔可包括姓名、職務(wù)、公司、電話(huà)、傳真、地址等信息,但信息不宜行數(shù)過(guò)多,一般不超過(guò)4行。你只需將一些必要信息放在上面,對(duì)方如果需要更詳細(xì)的信息,自然會(huì)與你聯(lián)系。

      引用一個(gè)短語(yǔ)作為你的簽名的一部分是可行的,比如你的座右銘,或公司的宣傳口號(hào)。但是要分清收件人對(duì)象與場(chǎng)合,切記一定要得體。

      2.不要只用一個(gè)簽名檔

      對(duì)內(nèi)、對(duì)私、對(duì)熟悉的客戶(hù)等群體的郵件往來(lái),簽名檔應(yīng)該進(jìn)行簡(jiǎn)化。過(guò)于正式的簽名檔會(huì)讓與對(duì)方顯得疏遠(yuǎn)。你可以在Outlook中設(shè)置多個(gè)簽名檔,靈活調(diào)用。

      3.簽名檔文字應(yīng)選擇與正文文字匹配,簡(jiǎn)體、繁體或英文,以免成出現(xiàn)亂碼。字號(hào)一般應(yīng)選擇比正文字體小一些。回復(fù)技巧

      1.及時(shí)回復(fù)Email

      收到他人的重要電子郵件后,即刻回復(fù)對(duì)方一下,往往還是必不可少的,這是對(duì)他人的尊重,理想的回復(fù)時(shí)間是2小時(shí)內(nèi),特別是對(duì)一些緊急重要的郵件。

      對(duì)每一份郵件都立即處理是很占用時(shí)間的,對(duì)于一些優(yōu)先級(jí)低的郵件可集中在一特定時(shí)間處理,但一般不要超過(guò)24小時(shí)。

      如果事情復(fù)雜,你無(wú)法及時(shí)確切回復(fù),那至少應(yīng)該及時(shí)的回復(fù)說(shuō)“收到了,我們正在處理,一旦有結(jié)果就會(huì)及時(shí)回復(fù),云云”。不要讓對(duì)方苦苦等待,記住:及時(shí)作出響應(yīng),哪怕只是確認(rèn)一下收到了。

      如果你正在出差或休假,應(yīng)該設(shè)定自動(dòng)回復(fù)功能,提示發(fā)件人,以免影響工作。

      2.進(jìn)行針對(duì)性回復(fù)

      當(dāng)回件答復(fù)問(wèn)題的時(shí)候,最好把相關(guān)的問(wèn)題抄到回件中,然后附上答案。不要用簡(jiǎn)單的,那樣太生硬了,應(yīng)該進(jìn)行必要的闡述,讓對(duì)方一次性理解,避免再反復(fù)交流,浪費(fèi)資源。

      3.回復(fù)不得少于10個(gè)字

      對(duì)方給你發(fā)來(lái)一大段郵件,你確只回復(fù)“是的”、“對(duì)”、“謝謝”、“已知道”等字眼,這是非常不禮貌的。怎么著也要湊夠10個(gè)字,顯示出你的尊重。

      4.不要就同一問(wèn)題多次回復(fù)討論,不要蓋高樓

      如果收發(fā)雙方就同一問(wèn)題的交流回復(fù)超過(guò)3次,這只能說(shuō)明交流不暢,說(shuō)不清楚。此時(shí)應(yīng)采用電話(huà)溝通等其他方式進(jìn)行交流后再做判斷。電子郵件有時(shí)并不是最好的交流方式。

      對(duì)于較為復(fù)雜的問(wèn)題,多個(gè)收件人頻繁回復(fù),發(fā)表看法,把郵件越RE越高,這將導(dǎo)致郵件過(guò)于冗長(zhǎng)笨拙而不可閱讀。此時(shí)應(yīng)即是對(duì)之前討論的結(jié)果進(jìn)行小結(jié),刪減瘦身,突出有用信息。

      5.要區(qū)分Reply和ReplyAll(區(qū)分單獨(dú)回復(fù)和回復(fù)全體)

      如果只需要單獨(dú)一個(gè)人知道的事,單獨(dú)回復(fù)給他一個(gè)人就行了

      如果你對(duì)發(fā)件人提出的要求作出結(jié)論響應(yīng),應(yīng)該replayall,讓大家都知道;不要讓對(duì)方幫你完成這件事情。

      如果你對(duì)發(fā)件人的提出的問(wèn)題不清楚,或有不同的意見(jiàn),應(yīng)該與發(fā)件人單獨(dú)溝通,不要當(dāng)著所有人的面,不停的RE來(lái)RE去,與發(fā)件人討論。你們討論好了再告訴大家。不要向上司頻繁發(fā)送沒(méi)有確定結(jié)果的郵件。

      點(diǎn)擊“回復(fù)全部”前,要三思而行!

      6.主動(dòng)控制郵件的來(lái)往

      為避免無(wú)謂的回復(fù),浪費(fèi)資源,可在文中指定部分收件人給出回復(fù),或在文末添上以下語(yǔ)句:“全部辦妥”、“無(wú)需行動(dòng)”、“僅供參考,無(wú)需回復(fù)”。
