      A 英文郵件如何寫

      a1 內(nèi)容

      從問(wèn)候開始

      主題摘要欄(Subject)郵件的標(biāo)題應(yīng)當(dāng)簡(jiǎn)潔明了。郵件標(biāo)題是郵件主要內(nèi)容的濃縮,是讀者瀏覽信箱時(shí)決定是否閱讀該郵件的根據(jù)。簡(jiǎn)潔明了的主題內(nèi)容可起到索引的作用,便于收件者以后在大量的郵件中查出相關(guān)的郵件。郵件標(biāo)題選擇的合適與否將影響到讀者處理信件的效率。因此,為了確保收信人能及時(shí)閱讀郵件,郵件的標(biāo)題不僅要引人注目,而且應(yīng)該言簡(jiǎn)意賅。另外,標(biāo)題應(yīng)該用名詞短語(yǔ)或動(dòng)名詞短語(yǔ),如:“Your Meeting in California”,“Your Order”,“Mrs.Jones”,“weekly Sales Meeting”,“廣告”等標(biāo)題都信息明確、一目了然。稱呼(salutation)

      正文部分(body)涉外商務(wù)電子郵件的正文書寫格式絕大多數(shù)采用齊頭式。齊頭式是指正文中各部分都從每行的左邊開始,這種格式便于打字和節(jié)省時(shí)間,提高工作效率。正文是電子郵件的主要部分,大多把話題分成幾個(gè)小主題,每個(gè)小主題一段,每段一般只有一兩句話,正文由兩三個(gè)或三四個(gè)簡(jiǎn)短的段落構(gòu)成。敬意結(jié)尾(complimentary closing)

      在現(xiàn)今的商業(yè)社會(huì)中,電子郵件已成為當(dāng)今世界上使用最頻繁的商務(wù)通訊工具。根據(jù)國(guó)際數(shù)據(jù)公司(IDC)2006年的統(tǒng)計(jì),全球每天發(fā)送約840億封電子郵件。然而,在全球每天發(fā)送幾百億封電子郵件的今天,人們卻很難感受到電子郵件的高效性。閱讀、撰寫、管理電子郵件會(huì)占據(jù)人們大量的時(shí)間。美國(guó)管理協(xié)會(huì)(American Management Association)和電子政策研究所(The ePolicy Institute)進(jìn)行的調(diào)查表明:如今人們每天花30分鐘到4個(gè)小時(shí)甚至更多的時(shí)間來(lái)處理電子郵件。垃圾郵件是造成該問(wèn)題的原因之一。但另一個(gè)更重要的原因是人們不知電子郵件的注意事項(xiàng)和寫作技巧。如果郵件中充滿了錯(cuò)誤、矛盾、難懂的語(yǔ)言,讀者就會(huì)失去閱讀的耐心,而且這種毫無(wú)紀(jì)律、沒(méi)有重點(diǎn)、無(wú)法讓人信任的溝通會(huì)使你面臨信譽(yù)掃地的危險(xiǎn),也可能會(huì)導(dǎo)致公司商機(jī)的喪失。所以良好的寫作技巧不僅能夠改善溝通品質(zhì),提高工作效率,而且能夠增加個(gè)人和公司的競(jìng)爭(zhēng)力。這一點(diǎn)在如今的商務(wù)領(lǐng)域中已經(jīng)得到了廣泛的認(rèn)同。所以在職場(chǎng)中,如何有效地利用電子郵件為個(gè)人和公司創(chuàng)造更多的機(jī)會(huì)、擁有更多競(jìng)爭(zhēng)優(yōu)勢(shì)呢?職場(chǎng)中電子郵件的使用應(yīng)該注意以下問(wèn)題:

      一、電子郵件是不是傳遞該信息最合適的選擇

      方便絕對(duì)不是使用電子郵件傳遞某些信息的好理由。電子郵件是一種公共媒介。每次寄出或接收電子郵件時(shí),信件的副本都會(huì)復(fù)制到服務(wù)器上,這樣,收信人以外的其他人也有可能會(huì)看到你的郵件。所以,郵件內(nèi)容要格外謹(jǐn)慎。一般不要通過(guò)電子郵件傳送以下信息:

      (一)公司或個(gè)人的秘密信息

      電子郵件中沒(méi)有所謂的隱私權(quán)。在你將公司的機(jī)密或他人的隱私放入郵件中前,要想想萬(wàn)一有人將其刊登在報(bào)紙上會(huì)怎么樣。

      (二)敏感的話題

      電子郵件不是面對(duì)面的交流。由于沒(méi)有面部表情、肢體語(yǔ)言和語(yǔ)調(diào)的暗示作用,你無(wú)法意識(shí)到信件的內(nèi)容對(duì)對(duì)方而言是傷害還是冒犯。而且有時(shí)電子郵件中的內(nèi)容是在電話或面對(duì)面交談中不會(huì)說(shuō)的。所以,如果發(fā)送前不考慮收件人的感受,會(huì)很容易使人產(chǎn)生負(fù)面情緒。

      (三)復(fù)雜的信息

      信件的主體最好不要傳遞復(fù)雜信息,比如詳細(xì)報(bào)告。因?yàn)樵谄聊簧献x這樣的信息很費(fèi)勁、很耗時(shí),所以最好將其作為附件發(fā)送,而郵件主體主要描述或概述附件的主要內(nèi)容。此外,發(fā)現(xiàn)需要回復(fù)的問(wèn)題不只一個(gè)時(shí),最好能夠根據(jù)情況采用面對(duì)面會(huì)談、及時(shí)通訊如MSN、QQ或電話等比電子郵件更適當(dāng)、更有效率的方式。

      二、寫郵件的目的是什么

      人們寫電子郵件常常是出于習(xí)慣,而沒(méi)有考慮為什么寫。其實(shí)郵件寫作的主要目的有兩個(gè):

      (一)影響收件人的行為

      告知或說(shuō)服收件人實(shí)施某個(gè)行為。例如:

      1.請(qǐng)于周五前將我的提議意見(jiàn)發(fā)給我。

      2.請(qǐng)于會(huì)議前三天發(fā)放議事日程。

      3.請(qǐng)重新安排我的約會(huì)。

      (二)通知收件人

      提供收件人所需的信息,如關(guān)于一個(gè)主題、行為或決定等。例如:

      1.我公司將于明年春季推出三款新產(chǎn)品,詳細(xì)信息請(qǐng)參閱附件。

      2.您星期五轉(zhuǎn)交給我的查詢信,我已回復(fù)。

      3.董事會(huì)于上周做出了一些重要決定,我已總結(jié)如下。

      三、對(duì)收件人了解有多少

      溝通是雙向的——只有當(dāng)你的信息被對(duì)方接受并理解后,溝通才能完成。沒(méi)有能夠清晰地進(jìn)行交流的主要原因是沒(méi)有考慮收件人的信息。收件人的信息有助于決定郵件的內(nèi)容、寫作的語(yǔ)氣和寫作的方式等。對(duì)收件人的考慮有:

      (一)與收件人的關(guān)系。

      (二)收件人是否希望收到這封郵件。

      (三)收件人對(duì)這一主題的信息。

      (四)收件人讀信后的反應(yīng)。

      (五)收件人對(duì)這一主題的興趣。

      (六)收件人收到這封信的感受。

      如果給了解的人寫信,上述問(wèn)題就容易回答多了。但是如果給了解不多甚至是毫無(wú)了解的人寫信時(shí),就需要根據(jù)一些其他信息,如此人工作單位、職位、與你或你單位的關(guān)系來(lái)做一些假設(shè)。這些假設(shè)會(huì)讓你的郵件更具有針對(duì)性并且獲得好的效果。例如:

      如果收件人是對(duì)你公司的產(chǎn)品進(jìn)行詢問(wèn)的潛在客戶,說(shuō)明他們對(duì)你們的業(yè)務(wù)有所了解但需要更詳細(xì)的信息來(lái)確定產(chǎn)品是否符合他們的需求。如果收件人是另一行業(yè)詢問(wèn)有關(guān)項(xiàng)目信息的經(jīng)理,說(shuō)明他所感興趣的是有關(guān)項(xiàng)目的主要觀點(diǎn)而不是每個(gè)細(xì)節(jié),并且他可能已具有一些相關(guān)但并不那么專業(yè)的知識(shí)。

      四、郵件中的重要訊息是什么

      在今天的職場(chǎng)中,人們每天都需要不停地應(yīng)對(duì)、處理各種問(wèn)題。時(shí)間的緊迫迫使人們不得不以盡可能高的效率處理手頭上的工作。閱讀郵件時(shí),人們常常僅僅讀幾行就決定這封郵件是否值得再讀下去。所以務(wù)必將要點(diǎn)放在信件的開頭,然后是對(duì)有關(guān)要點(diǎn)的事實(shí)和觀點(diǎn)的陳述。

      下面這些問(wèn)題可以幫助確認(rèn)郵件中的重要信息。

      (一)要詢問(wèn)什么問(wèn)題?

      (二)要發(fā)送什么文件?為什么要發(fā)給對(duì)方?

      (三)要陳述什么觀點(diǎn)?

      (四)要征詢什么意見(jiàn)?

      (五)要給予什么建議?為什么對(duì)方要接受?

      (六)要推銷什么產(chǎn)品?為什么對(duì)方要購(gòu)買?

      (七)為什么要表示感謝?

      用兩三個(gè)能簡(jiǎn)潔地表達(dá)主要觀點(diǎn)的句子來(lái)開始你的郵件。但是有時(shí)候需要幾個(gè)詞或一兩個(gè)短句來(lái)引出要點(diǎn)。例如:

      1.約定的期限快到了。你方何時(shí)能夠匯報(bào)項(xiàng)目的進(jìn)展情況?

      2.很高興在上周的會(huì)議中與您相識(shí)。我對(duì)您關(guān)于明年四月份舉辦籌款活動(dòng)的建議非常感興趣。

      如果你回復(fù)一個(gè)問(wèn)題,可以先將這個(gè)問(wèn)題陳述或概括一下,然后再進(jìn)入要點(diǎn)。例如:

      你方曾詢問(wèn)如果提前一周完工,開銷將會(huì)增加多少。據(jù)我方估計(jì),開銷將會(huì)??

      五、收件人需要知道什么

      很多人在抱怨:“不停地讀郵件讓我感到疲憊。為什么人們認(rèn)為我應(yīng)該了解跟他們一樣多的東西。只要提供我需要的信息就夠了,其他的就不必了?!?大多數(shù)人只是在寫重要的郵件時(shí),才會(huì)停下來(lái)思考收件人究竟想要什么樣的信息。因此,我們的電子郵件中常常包含了很多不必要的信息或者省略掉了很多重要的信息。這主要是因?yàn)槲覀兊淖⒁饬偸羌性谙胱屖占肆私馐裁礃拥男畔⒍皇撬麄冃枰裁礃拥男畔⑸?。但是如果從收件人的角度?lái)寫郵件,你會(huì)發(fā)現(xiàn)郵件應(yīng)該回答收件人的所有問(wèn)題,而且只能是這些問(wèn)題。想弄明白那些問(wèn)題是什么很棘手。除非你回答的是收件人提出的具體問(wèn)題,否則得仔細(xì)考慮收件人可能問(wèn)的問(wèn)題。

      要點(diǎn)和收件人所提問(wèn)題的答案就構(gòu)成了郵件的主要框架,這使得寫一封清晰、簡(jiǎn)潔的郵件變成一件很容易的事情。例如:

      我提議小組組長(zhǎng)們每個(gè)月舉行一次自備食品工作午餐會(huì)。這樣每個(gè)人能夠及時(shí)了解項(xiàng)目最新的進(jìn)展情況。此外,我們也有更多的機(jī)會(huì)討論如何解決問(wèn)題。

      六、郵件中如何組織信息

      一封好的郵件應(yīng)該簡(jiǎn)明扼要、層次清晰、邏輯性強(qiáng)。要點(diǎn)出現(xiàn)在最開始,其他信息都和要點(diǎn)相關(guān),這樣收件人不需費(fèi)勁就能知道郵件的主題。但是在組織信息時(shí)也會(huì)存在困難,不妨考慮下面因素:

      (一)是否沒(méi)有考慮寫作的目的、收件人的信息、寫作的要點(diǎn)、收件人可能質(zhì)疑的問(wèn)題就直接寫作了。

      如果是這樣,要試著將信息組織一下,重新安排,否則這封郵件將令人費(fèi)解。

      (二)是否有多余信息。盡管仔細(xì)思考了,但是大多數(shù)人還是會(huì)將所有的內(nèi)容放在郵件中,好像我們所說(shuō)的內(nèi)容對(duì)收件人來(lái)說(shuō)都很有趣。牢記:正文應(yīng)該是對(duì)重要信息的支撐、解釋和擴(kuò)展。如果不是,就趕緊省略。

      (三)是否中途變換方向。有時(shí)我們開始是讓收件人做一件事,但突然間,我們跳到一個(gè)完全不同的話題。這樣會(huì)使收件人困惑,也會(huì)使你困惑。

      (四)是否想要呈現(xiàn)太多的信息。每封信都關(guān)于一個(gè)話題或主題,每封信都針對(duì)一個(gè)收件人(群)。如果想在一封信內(nèi)發(fā)送所有信息,在開頭列出要點(diǎn),然后用標(biāo)題幫助收件人(群)迅速地找到具體的細(xì)節(jié)。如果寫的內(nèi)容太復(fù)雜,最好獨(dú)立成一個(gè)文本然后作為附件發(fā)送,而郵件僅提供簡(jiǎn)要的說(shuō)明。

      七、將信息寫出

      如果你遵循了以上建議,那么寫一封清晰、簡(jiǎn)潔的郵件就像倒杯咖啡一樣簡(jiǎn)單。寫郵件時(shí),需要注意:

      (一)在敏感的、復(fù)雜的、機(jī)密的情況下,要再三考慮電子郵件是否是傳遞信息的最好方式。如果是,使用文字處理系統(tǒng)起草一封郵件。這樣的話,在寫好之前不會(huì)發(fā)送出去,而你會(huì)首先并且務(wù)必進(jìn)行拼寫、語(yǔ)法、標(biāo)點(diǎn)的檢查和文本的編輯。

      (二)使用清晰、簡(jiǎn)潔、主動(dòng)、具體的語(yǔ)言使你的郵件能夠盡可能快速準(zhǔn)確地傳達(dá)。避免使用行話。

      (三)確信你的要點(diǎn)和最重要的信息放在開頭。如果必要,加一些詞或短句構(gòu)建起上下文(如四所述)。

      (四)如果發(fā)現(xiàn)包含很多多余的信息,再篩選一下?;蛟S你沒(méi)有充分考慮收件人的需求。

      (五)不要急著挖空心思尋找詞語(yǔ)來(lái)表達(dá)觀點(diǎn),而應(yīng)該首先考慮收件人和你的寫作目的。

      八、使用模板

      充分利用模板。模板使用得當(dāng),可以節(jié)省大量時(shí)間。模板提供了基本的詞匯和結(jié)構(gòu),你只需根據(jù)特定的情況來(lái)改變內(nèi)容即可。注意模板的使用原則:

      (一)模板需根據(jù)你要不斷發(fā)送的基本信息來(lái)生成。

      (二)不斷更新模板:刪掉不需要的信息,或者修改信息。

      (三)只在適合的情況下使用模板。因?yàn)橛袝r(shí)修改模板比重新寫新郵件還慢。

      (四)仔細(xì)校對(duì)模板信息,確定沒(méi)有陳舊的、不相關(guān)的信息,沒(méi)有使用他人名字或忘記變更日期等等。

      當(dāng)今,對(duì)于正在從事跨國(guó)業(yè)務(wù)的公司和員工來(lái)說(shuō),客戶對(duì)你的第一印象多半來(lái)自電子環(huán)境,而這正建立在員工的商務(wù)寫作水平的基礎(chǔ)上。一間美國(guó)大型企業(yè)首席執(zhí)行官說(shuō):“在工作上能夠不斷精進(jìn)的,是那些擁有絕佳表達(dá)技巧的人?!币虼耍瑢?duì)于許許多多的員工來(lái)說(shuō),良好的寫作技巧是職場(chǎng)獲勝不可缺少的利器。具有良好寫作技巧的員工對(duì)公司來(lái)說(shuō)也是一筆寶貴的財(cái)富。
