在外貿(mào)交往過(guò)程中,我們不可避免的需要寫(xiě)一些外貿(mào)郵件。那么,外貿(mào)郵件注意事項(xiàng),你知道嗎?你知道該怎么去寫(xiě)好一封外貿(mào)郵件了嗎?不過(guò)都沒(méi)關(guān)系了,趕快跟春喜外語(yǔ)小編一起來(lái)看一下外貿(mào)郵件之一事項(xiàng)吧。
外貿(mào)郵件的標(biāo)題首當(dāng)其沖,一個(gè)好的標(biāo)題就是成功的一半。外貿(mào)郵件標(biāo)題或者叫主題,是整封郵件的靈魂,一個(gè)好的標(biāo)題會(huì)起到事半功倍的效果,特別是未與客戶建立任何業(yè)務(wù)往來(lái)之前。那么,我們?cè)撊绾蝸?lái)寫(xiě)外貿(mào)郵件標(biāo)題呢?
1)標(biāo)題一定要簡(jiǎn)潔鮮明,盡量避免類似于推銷信的主題。比如客戶的詢盤(pán)要求我們發(fā)電腦包的價(jià)格單,一般人會(huì)寫(xiě)成“Price list of laptop
。如果客戶長(zhǎng)期采購(gòu)或者進(jìn)口,他的郵件地址一定會(huì)被很多公司搜索到,每天會(huì)收到很多類似郵件。如果我們把標(biāo)題改成“The/Your required price list of laptop bag”,效果肯定要稍好。
2)標(biāo)題不要全部用大寫(xiě),這樣很容易進(jìn)入垃圾郵箱。
3)標(biāo)題盡量不要出現(xiàn)標(biāo)點(diǎn)符號(hào)。
郵件正文。外貿(mào)郵件幾乎體現(xiàn)了我們作為一個(gè)業(yè)務(wù)員的所有專業(yè)、技術(shù)水平,業(yè)務(wù)水平。甚至我們自己的性格,修養(yǎng)等等。所以要盡量嚴(yán)格要求自己,不斷提升。
1.針對(duì)性。請(qǐng)?jiān)卩]件中寫(xiě)上對(duì)方公司的名稱,或者在信頭直接稱呼收件人的名字。這樣會(huì)讓對(duì)方知道這封郵件是專門(mén)給他的,而不是那種群發(fā)的通函,從而表示對(duì)此的重視。如果無(wú)法確定收信人的名字,那就在稱呼一欄里寫(xiě)“Dear Sirs”or“Dear Sir or Madam”。
2.郵件正文字體大小,顏色要統(tǒng)一。且盡量使用國(guó)際上比較通用的字體。想要突出的重點(diǎn)部分可用粗體、斜體、鮮明顏色等標(biāo)示出來(lái)。郵件不要全部用大寫(xiě)字母。不要為了顯示個(gè)性,或者美觀,選一些不常用字體。因?yàn)槟銦o(wú)法判斷客戶是否也使用相同的操作系統(tǒng)或者軟件,如果客戶電腦無(wú)此字體,一般會(huì)亂碼。
3.郵件要簡(jiǎn)潔樸實(shí),不需要華麗。幾句話點(diǎn)到主題,表達(dá)清楚就可以了。能用一句話表達(dá)的,千萬(wàn)別寫(xiě)兩句,省掉一切能省的廢話(不包括適當(dāng)禮貌性用語(yǔ))。郵件中盡量不要出現(xiàn)生僻的單詞。
4.少用第一人稱,少用主動(dòng)語(yǔ)態(tài),多用被動(dòng)語(yǔ)態(tài),多用虛擬語(yǔ)氣,目的是陳述事件,而不是一看到郵件就我/我們?cè)趺丛趺礃?。多用短句,少用長(zhǎng)句,一句話最好只出現(xiàn)一個(gè)從句,盡量不要從句里面含著從句,英語(yǔ)畢竟不是我們的母語(yǔ),句子太長(zhǎng),讀起來(lái)不順口,而且還容易產(chǎn)生歧義。盡量用“WE”,“OUR”而不是“I”, “MY”因?yàn)闃I(yè)務(wù)員代表的是公司,而不僅僅是個(gè)人。舉個(gè)特殊的例子,比如我們要寫(xiě)“經(jīng)與老板協(xié)商后做的決定”,“As discussed with my boss……”,這樣寫(xiě)在很多國(guó)家都不會(huì)有問(wèn)題,但有些國(guó)家理解My boss是頂頭上司的意思,而不一定是老板,客戶會(huì)覺(jué)得這個(gè)決定是不是不靠譜,或者還有回旋余地。如果寫(xiě)成“As discussed with our boss…..”,就不會(huì)有任何問(wèn)題。
5.語(yǔ)氣不要過(guò)于生硬。比如我們經(jīng)常催客戶付款,“Did you make the payment?”,面對(duì)面,或者在電話中我們應(yīng)該這樣講。但如果在郵件中,如果寫(xiě)成“When can we expect to get your payment?”這樣不管有沒(méi)有付,客戶會(huì)比較好回答。
6.用詞。有些詞盡量不要全篇都一樣,比如“如果”,如果全篇都是“If”,影響不大,但讀起來(lái)會(huì)有些生硬,可以用其它的,如“Whether”“In case”“Provided that”等。但有些詞必須全部統(tǒng)一,比如說(shuō)電腦內(nèi)膽包,如果我們開(kāi)始用了“Laptop sleeve”,在后面就不要再用像“Laptop cover”“Computer sleeve”等之類的。雖然意思一樣,但有可能客戶會(huì)覺(jué)得我們是不是再說(shuō)兩種不同的產(chǎn)品。
7.如果客戶的郵件長(zhǎng)篇大論,問(wèn)了很多問(wèn)題,回復(fù)時(shí)最好直接在客戶問(wèn)的每個(gè)問(wèn)題下面直接作答,字體和顏色要區(qū)分出來(lái),因?yàn)檫@樣客戶看起來(lái)會(huì)非常方便。如果全部寫(xiě)在郵件上方,可能客戶要一條一條先看下面問(wèn)題,再看上面答復(fù)。
8.精確。當(dāng)涉及到數(shù)據(jù)或者具體的信息時(shí),比如時(shí)間,地點(diǎn),價(jià)格,貨號(hào)等等,盡可能做到精確。這樣會(huì)使交流的內(nèi)容更加清楚,更有助于加快事務(wù)的進(jìn)程。
9.外貿(mào)郵件不要寫(xiě)的過(guò)長(zhǎng)。人的時(shí)間很寶貴,每天要收到數(shù)百封郵件,你想想,一個(gè)不認(rèn)識(shí)的人發(fā)了一封又長(zhǎng)又臭的郵件給你,英語(yǔ)表述又不好,還加了好幾M的附件,你會(huì)不會(huì)認(rèn)真去看?而且很多老外的時(shí)間觀念很強(qiáng),每天都有幾塊固定的時(shí)間用來(lái)處理email,很多長(zhǎng)篇大論的郵件,只要不是他的熟人發(fā)的,一般會(huì)被直接刪除,或者是把你的地址設(shè)為垃圾郵件。
我問(wèn)過(guò)很多西歐客人,他們一般處理每一封郵件的時(shí)間是2-3秒,也就是大致掃一眼,重要的郵件,一般馬上仔細(xì)閱讀并回復(fù),不是太重要的,會(huì)在outlook里標(biāo)注上要處理的具體時(shí)間,然后從inbox拉到相應(yīng)的子目錄里。換句話說(shuō),只要客人的郵箱地址是對(duì)的,也是你要找的right person,你的開(kāi)發(fā)信只能停留在他眼前2-3秒,就是決定命運(yùn)的時(shí)刻了。這種情況下,試問(wèn)你敢不敢把郵件寫(xiě)得很長(zhǎng)?
10.公司介紹不要太多,最好一筆帶過(guò)??腿艘话悴粫?huì)有太大興趣去看的。只有等他對(duì)你的產(chǎn)品,價(jià)格各方面都有興趣,他才會(huì)要了解一
什么規(guī)模之類的。當(dāng)然也有客戶先要從公司基本信息了解開(kāi)始,這樣就越詳細(xì)越好了。
11.如果樣板單或訂單經(jīng)過(guò)了很長(zhǎng)時(shí)間的談判,來(lái)往郵件也很多,尤其是前前后后改了很多細(xì)節(jié),最后確認(rèn)的時(shí)候,寫(xiě)一封總結(jié)郵件,詳細(xì)列出所有細(xì)節(jié)。同樣,與客戶電話溝通或者面對(duì)面談的東西先記下來(lái),事后馬上寫(xiě)一封總結(jié)郵件過(guò)去。千萬(wàn)別讓客戶自己寫(xiě)過(guò)來(lái)。這樣既可以避免以后不必要的糾紛,也讓客戶覺(jué)得我們服務(wù)做得好。如一美國(guó)客戶確認(rèn)訂單的時(shí)候?qū)懙模琀ere I would like to sum up the details of your order as below, 1.Overall size is as per your sample.2.Color is from #11 in K38.3.Woven label and washing label are as per your sample., 4.No HS iron logo.5.A 2.75”X5” tag is as per your artwork.6.The strap comes off at 45 degree angel, and the length is 37.5”
7.A poly bag with printing mentioned.Please correct me if any point wrong or missed.12.價(jià)格問(wèn)題??蛻粢话銜?huì)一輪一輪砍價(jià),為自己爭(zhēng)取最大利益?!癐t is too expensive”,或者“Your price is too high”很多客戶會(huì)這樣寫(xiě)?;貜?fù)時(shí)不妨這樣寫(xiě),“I think that's a little expensive, but...” 先同意客戶的觀點(diǎn),表示價(jià)格的確有那么一點(diǎn)點(diǎn)貴,但是……??蛻粽f(shuō)too,我們說(shuō)a,這樣一來(lái),先同意客戶的觀點(diǎn),氣氛不會(huì)那么緊張。也留有談判余地。就算以后再降價(jià),也不至于降太多。然后等轉(zhuǎn)折以后,再解釋給客戶聽(tīng),我們的產(chǎn)品為什么要賣這個(gè)價(jià)錢(qián),差別在哪里,優(yōu)勢(shì)在哪里。如果還嫌貴,可以在改動(dòng)某些材料、配件等把價(jià)格降下來(lái)。也可以調(diào)整一些細(xì)節(jié),比如延長(zhǎng)出貨期,改包裝等等,要給客戶一種現(xiàn)在的價(jià)格是作了改動(dòng)才有的感覺(jué)。價(jià)格談判的核心就是雙方都能接受。當(dāng)然這只是一個(gè)大概處理辦法,很多情況可能要具體去分析。
13.為了縮短樣板或訂單整個(gè)周期,在往來(lái)郵件中,主動(dòng)幫客戶去解決問(wèn)題。有疑問(wèn)的,盡量給不同建議讓客戶選擇,而不是簡(jiǎn)簡(jiǎn)單單再問(wèn)客戶該如何處理。這樣既可以節(jié)省時(shí)間,也讓客戶覺(jué)得我們專業(yè),服務(wù)也好。
14.郵件回復(fù)一般當(dāng)天完成。如果當(dāng)天無(wú)法回復(fù),特別是老客戶郵件,最好能給個(gè)反饋信息,什么時(shí)候能給予答復(fù),比如“We are checking, and will get reply to you by......”。詢盤(pán)最好能當(dāng)天回復(fù),尤其是在工作時(shí)間收到的詢盤(pán),如果即該回復(fù),越快越好,客戶一般會(huì)反饋。
15.我們可能經(jīng)常碰到無(wú)理的客戶郵件寫(xiě)得很Aggressive, 回復(fù)郵件時(shí),我們最好保持我們的風(fēng)度,顯示出我們是來(lái)自大公司的高素質(zhì)的銷售人員。不管單成與不成,盡量去營(yíng)造一個(gè)和諧的氣氛。
16.如果某個(gè)業(yè)務(wù)員與客戶處于比較焦灼狀態(tài),可以讓其它業(yè)務(wù)員,或者經(jīng)理以上司或者老板名義暫時(shí)協(xié)調(diào)一下,能取得不錯(cuò)效果。
17.郵件寫(xiě)完后一定要再花幾分鐘反復(fù)檢查,是否有語(yǔ)法錯(cuò)誤、拼寫(xiě)錯(cuò)誤,是否有遺漏內(nèi)容或者附件,甚至本身的一些人為錯(cuò)誤,如價(jià)格,出貨期等。
18.平時(shí)多琢磨客人的郵件,尤其是那些寫(xiě)得比較好的。有意識(shí)去模仿他們的行文方式和遣詞用句。
19.郵件簽名。簽名一般顯示個(gè)人與公司的基本信息,包括地址與聯(lián)系方式等。還有一些能顯示公司實(shí)力的認(rèn)證等信息。
20.信頭。就如同信紙,很多公司有自己的信紙,有信頭。這個(gè)很少有人加,尤其是開(kāi)發(fā)信,因?yàn)榇蠖鄶?shù)人崇尚簡(jiǎn)單,開(kāi)發(fā)信越簡(jiǎn)單越好。我不這么認(rèn)為,當(dāng)客戶有詢盤(pán)進(jìn)來(lái),你回復(fù)的時(shí)候,加入信頭,會(huì)顯示出你公司比較正規(guī);發(fā)開(kāi)發(fā)信的時(shí)候,加入信頭,會(huì)讓你的公司顯得正規(guī)有實(shí)力。
我的開(kāi)發(fā)信和回復(fù)都存在信頭,的確因?yàn)閘ogo的存在很多郵件進(jìn)了垃圾郵件,但是猶如上面所說(shuō),客戶從垃圾郵件里也給我回復(fù)了!
